Office Manager

You’ll act as the first point of contact for the business, answer phone calls, schedule meetings, make travel arrangements, handle mail and deliveries, and help us with other operational duties to keep everything running smoothly. Responsibilities: • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Schedule appointments and ensure the business calendar is accurate and up-to-date • Handle deliveries and manage incoming and outgoing mail • Complete other administrative duties as needed such as data entry, paperwork, photocopying, etc. • Book travel arrangements and prepare itineraries so off-site meetings go smoothly • Serve as the first point of contact for clients, visitors, and callers, providing a warm and professional experience • Answer and direct incoming phone calls and emails to the appropriate team members • Greet and assist clients and guests arriving at the office • Manage incoming and outgoing mail, packages, and deliveries • Maintain office supplies, inventory, and vendor orders to ensure smooth day-to-day operations • Schedule meetings, appointments, and conference room usage • Provide administrative support, including data entry, document preparation, scanning, filing, photocopying, and record management • Assist with firm events, meetings, and travel arrangements as needed • Support attorneys and staff with special projects and assigned administrative tasks • Maintain organized office systems and ensure common areas remain professional and welcoming • Assist leadership with operational and administrative initiatives as assigned Qualifications: • Has previous experience with word processing programs and basic computer skills • 1+ year of front desk receptionist experience or related job experience preferred • Has experience answering telephone calls and troubleshooting stressful situations • High school graduate, G.E.D. recipient, or equivalent • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • Excellent verbal and written communication skills • Strong customer service and interpersonal skills with a professional demeanor • Exceptional organizational skills and attention to detail • Ability to multitask and prioritize responsibilities in a fast-paced environment • Proficiency with Microsoft Office Suite and general office technology • Comfortable handling sensitive and confidential information • Previous experience as a receptionist, administrative assistant, office coordinator, or similar administrative role preferred • High school diploma or equivalent required; additional administrative training or education is a plus Compensation: $55,000 - $58,000 yearly

Compensation:
$55,000-$58,000 per year
