Job Summary

Department-Specific Responsibilities

  • Processes the school's financial aid and scholarships and maintains scholarship data in the university portal. Assists and supports other financial processing for the school's business office as needed.
  • Processes fundamental human-resources-related tasks, including, but not limited to, hiring processes (I-9 and background check completion), generating and managing adjunct faculty and student academic appointee agreements and scheduling and coordinating search committees.
  • Ensures donor and scholarship parameter compliance. Works with stakeholders to troubleshoot and resolve issues/problems.
  • Processes IU Foundation to IU Scholarship transfers on IUF-funded scholarships, ensuring donor intent compliance. Runs reports on school's IU Foundation accounts on a monthly and ad hoc basis; alerts fiscal officer of any dormant and underutilized accounts.
  • Liaises with campus scholarship director and school awards committee; coordinates processing of school awards and ensures selected awardees meet scholarship requirements; works with fiscal officer to resolve issues. Responds to student inquiries.
  • Liaises with departments, development officers, and other business office personnel to respond to inquiries and to ensure grant accounts for fee remissions are active and not expired; works with school grant specialist to update grant account numbers as needed.

General Responsibilities

  • With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
  • Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
  • Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, KFS, HRMS, etc.).
  • Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
  • Assists in designing, documenting, and implementing processes.
  • Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
  • Monitors financial accounts and ensures timely payments are made to payees.
  • Responds to inquiries regarding financial and/or personnel policies and procedures; takes the lead on the most complex cases within their scope of work.
  • Serves as liaison to department and/or other university divisions.

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED).

Preferred

  • Associate's degree.

WORK EXPERIENCE

Required

  • 4 years of relevant experience.

Preferred

  • Experience working with complex data and/or records services in a team environment.

  • Ability to clearly present material and make it accessible to a specific audience.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location

This position is eligible to work a hybrid schedule (mix between 1 day remote and 4 days in-person work), subject to change in the future based on university policy and business needs.
