Executive Assistant to the President & COO Job Description Flag Luxury Group is seeking a high-performing Executive Assistant to serve as a trusted partner to our President and COO. This highly visible role extends beyond traditional executive support, encompassing project coordination, communications, marketing, public relations, events, strategic partnerships, and special initiatives. The ideal candidate is a polished and resourceful professional with excellent judgment, discretion, and communication skills who thrives in a fast-paced, entrepreneurial environment. Working with senior leadership, this individual will help drive cross-functional initiatives, manage key relationships, and support a diverse portfolio of projects, including marketing campaigns, event planning, philanthropic endeavors, business development efforts, and executive communications. Success in this role requires exceptional organizational skills, meticulous attention to detail, and the ability to adapt on the go, balance competing priorities, and execute with professionalism and efficiency. Experience in real estate, development, design, construction, or hospitality is highly preferred. Key Responsibilities Manage the President/COO’s complex calendar, including scheduling meetings, appointments, travel, and events for business, personal and philanthropy. Coordinate and prepare meeting agendas, itineraries, presentations, reports, and supporting materials. Anticipate needs before they arise, including briefing materials, guest lists, talking points, and ordering meals. Attend meetings as needed, document key discussions, and track action items through completion. In some instances, manage events from concept through execution, including run-of-show development, invitations, guest list management, RSVP tracking, VIP handling, vendor negotiations, budgets, collateral, seating, gifting, and post-event follow-up. Serve as a liaison between internal teams, asset management, operators, PR agencies, marketing consultants, creative partners, and external vendors to ensure messaging, timelines, approvals, and deliverables remain aligned. Assist with strategic projects, operational initiatives, and special assignments. Monitor and prioritize incoming communications and correspondence on behalf of the President/COO. Maintain organized electronic and physical filing systems, records, and confidential documents. Prepare monthly expense reports. Manage website and social media accounts, often creating new content or campaigns. Organize personal and family-related events, dinners, outings, travel and gifting with discretion and attention to detail. Manage household residences and serve as main point of contact for vendors, contractors, and building management. Track repairs/renovations projects, timelines, invoices, installations, deliveries, and follow-up items. Coordinate with household staff as needed. Required Qualifications Bachelor's degree required. 5+ years of executive assistant experience supporting senior executives or C-suite leaders. Advanced proficiency in Microsoft Office Suite (including Outlook, Word, Excel, and PowerPoint), Canva, Google Workspace, Dropbox/file-sharing platforms, Bluebeam or Adobe PDF. Strong organizational and time-management skills. Exceptional written and verbal communication abilities. Proven ability to manage multiple priorities and deadlines simultaneously.
