Secretary To The Principal This position's responsibilities are to coordinate activities of a school office and serve as secretary to the school principal, including promoting positive public relations, providing a wide variety of services to students, staff and the public, and maintaining a wide variety of records. Essential functions include greeting students, parents, staff and the public; maintaining detailed program records; preparing and processing requisitions and purchase orders; serving as secretary to the building principal; maintaining payroll records for building staff; coordinating the work of school office personnel, student assistants and volunteers assigned to the office; tracking deadlines to ensure timely completion and filing of reports and responses; making non-instructional decisions during principal's absence; and providing a variety of building and program services to create a positive learning and teaching environment. Other functions may include providing secretarial assistance to other administrators, teachers, specialists and parent volunteers; providing first aid to ill and injured students; supervising students in the office; serving on various district committees and/or departmental work teams; and performing related duties consistent with the scope and intent of the position. Reporting relationships include reporting to the school principal and providing guidance to office support staff. Mental demands include frequent interruptions, dealing with distraught or difficult parents and students, adapting to shifting priorities, and requiring concentration and attention to detail. Physical demands include exposure to visual display terminals for prolonged periods, dexterity and precision in the operation of a computer, and potential exposure to ordinary infectious carried by students. Minimum qualifications include successful building secretary or office manager experience, experience dealing with school age children, ability to communicate effectively, customer service and public relations skills, knowledge of secretarial and general bookkeeping procedures, high-level keyboarding and data entry skills, ability to operate a computer and learn specific software programs, correct grammar, spelling and English usage, ability to proofread and make corrections, perform arithmetic calculations, transcribe machine dictation, compose and format correspondence, set up and maintain accurate files and records, organize and set priorities for work, maintain confidentiality, office coordination, ability to train, assign and review the work of others, and establish and maintain effective working relationships with students, parents, staff and the public. Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor. Must complete training in and adhere to district infection control plan. Training in voter registration may be required. Wages and benefits include salaries, insurance, retirement plans, paid time off or vacation, paid holidays, and other compensation.
