HR & Payroll Administrator

Title: HR & Payroll Administrator Position Summary The HR & Payroll Administrator is responsible for managing payroll administration while supporting a broad range of Human Resources functions, including employee relations, benefits administration, recruitment, onboarding, compliance, performance management, and HR recordkeeping. This position serves as a key resource for employees and management, ensuring accurate payroll processing and supporting an exceptional employee experience. Job Type Salaried, Exempt Hours M-F, 40 hours per week. Pay Salary Range, $63,000 - $75,000. The starting salary ($63k) for this role represents a candidate with a minimum of 3 years of experience. Program People and Culture Reporting Structure Reports to the Vice President of People and Culture Responsibilities Human Resources Support recruitment efforts, including posting positions, screening candidates, scheduling interviews, and coordinating hiring activities. Conduct employee onboarding and orientation programs. Maintain electronic employee personnel files and HR information systems (HRIS). Administer employee benefits programs and assist employees with benefit-related inquiries. Support performance management processes, employee engagement initiatives, and talent development programs. Investigate and assist in resolving employee relations matters. Ensure compliance with employment laws, company policies, and HR best practices. Assist with leave administration, including FMLA, ADA accommodations, workers' compensation, and other leave programs. Generate HR metrics and reports to support organizational decision-making. Participate in policy development and implementation. Assist with training and development activities. Payroll Administration Process biweekly payroll accurately and on schedule. Ensure compliance with federal, state, and local wage and hour laws. Maintain payroll records, employee earnings, deductions, garnishments, and tax withholdings. Review and audit timesheets, leave balances, overtime, and payroll reports. Coordinate payroll-related changes, including new hires, terminations, promotions, and compensation adjustments. Reconcile payroll data and prepare payroll-related reports for leadership and finance. Respond to employee payroll inquiries and resolve discrepancies promptly. Assist with year-end payroll activities, including W-2 preparation and payroll audits. Collaborate with Finance to ensure accurate payroll accounting and reporting. Compliance and Recordkeeping Maintain confidentiality of sensitive employee and organizational information. Ensure compliance with all employment regulations and payroll requirements. Prepare documentation for internal and external audits. Maintain accurate HR and payroll records according to retention requirements. Engagement and Culture Assist with administering the annual staff satisfaction survey. Assist with administering the bi-annual Professional Quality of Life (ProQol) survey. Participate in monthly all-staff meetings. Assist with scheduling the annual on-site staff immunization clinic Strive to help create a culture that emphasizes safety, quality, inclusion, transparency, relationship building, and mission-focused performance. The ability to work collaboratively across departments. Proficient skills in Outlook, ADP, and Microsoft Suite products. Sound understanding of HR functions and best practices. Exposure to labor law and employment equity regulations. Effective HR administration. Ability to interact in a welcoming, friendly, and professional manner with both adult and child clients. Ability to communicate directly and effectively with others, demonstrating knowledge and respect of cultural norms and communication styles. Strong ability to recognize and manage personal emotions/stress and maintain healthy and professional boundaries. A “can do” attitude, ready to jump in wherever assistance is needed. Experience And Education Bachelor’s degree in Human Resources or related field (years of experience or HR certification(s) may be considered in place of a bachelor’s degree). Minimum of 3 years’ experience as a Human Resource Generalist or comparable position. Minimum of 2 years’ experience administering Payroll- ADP experience preferred but not required.
