Project Coordinator

Job Summary:

The OUC IBW Project Coordinator leads and supports the In-Building Wireless (IBW) program within the OUC Technology Division. This role manages communication and compliance efforts among building owners, regulatory agencies, and internal stakeholders to ensure program deliverables and workflows are executed effectively. The coordinator oversees documentation, reporting, and coordination of multi-agency activities to maintain compliance with building and fire safety requirements. Responsibilities:

• Coordinate and support IBW team tasks including communication with building owners, integrators, testing companies, Department of Buildings (DOB), Fire Marshals, and other agencies.
• Track program deliverables, monitor requests, respond, and assign resources as needed.
• Schedule, assign, and track OUC commitments and deliverables related to the IBW program.
• Ensure authorizations, acceptance tests, and annual inspections are executed and properly documented.
• Support planning for systems development, maintenance, upgrades, and IT services.
• Monitor annual testing deadlines, send reminders, and issue compliance notices.
• Collaborate with Fire Marshal Office and DOB to enforce compliance and ensure IBW requirements are met for occupancy permits.
• Provide monthly program reports including status updates and key performance metrics.
• Review and recommend approval of invoices related to BDA monitoring services.
• Ensure maintenance of OUC-managed and District-owned Bi-Directional Amplifiers (BDAs).
• Coordinate testing with Motorola system managers as needed.
• Manage and escalate interference incidents, including communication with the FCC.
• Communicate incidents to stakeholders following established escalation procedures.
• Collaborate with internal and external stakeholders to gather requirements and align program objectives.

Required Skills & Certifications:

• Bachelor s degree in management or related field, or equivalent experience.
• 6-10 years of experience in project support and coordination within an enterprise environment.
• Experience tracking program progress against project plans and preparing status reports.
• Proficiency with workflow-oriented program management software.
• Knowledge of performance monitoring and quality assurance practices.
• Experience managing operational processes associated with well-defined workflows.
• Coordination and management of multi-agency stakeholder programs.
• Ability to develop requirements and scope of work for equipment maintenance.
• Experience providing status reports on key performance metrics using data from information systems.
• Customer support and problem resolution skills including use of troubleshooting databases.

Preferred Skills & Certifications:

• Experience working with government regulatory agencies such as the Department of Buildings and Fire Marshal s office.
• Familiarity with Bi-Directional Amplifier (BDA) systems and related monitoring services.
• Knowledge of FCC regulations and interference incident management.
• Strong stakeholder communication and collaboration skills.

Special Considerations:

• Must comply with absence policies requiring advance approval for absences longer than two weeks.
• Ability to manage multi-agency coordination and enforce compliance with regulatory requirements.
• Position requires adherence to strict program workflows and escalation procedures.

Scheduling:

• Standard work schedule with potential for coordination across multiple agencies and stakeholders.
• Contract position from November 2, 2026, through September 30, 2027.
