Key Personnel is seeking an Administrative Assistant for a family-owned roofing company in Sapulpa, OK.
Job Title: Administrative Assistant
Location: Sapulpa, OK
Hours: Monday – Friday, 9:00 AM – 5:00 PM
Pay Range: $19/hr
Position Type: Temp-to-Hire
Administrative Assistant Job Summary
Provide administrative and clerical support for a growing roofing company. This role will be responsible for supporting daily office operations, assisting customers, maintaining records, coordinating schedules, and ensuring efficient administrative processes. The ideal candidate will be organized, detail-oriented, and comfortable working in a small office environment where teamwork and customer service are essential.
Administrative Assistant Responsibilities
•Digital Records Management
• Maintain and organize digital files for active and completed job sites.
• Ensure records are accurate, consistent, and easily accessible across multiple office locations.
• Scan, upload, and manage electronic documents and records.
• Accurately enter and update information within company software systems.
• Maintain contractor and project-related records.
• Assist with tracking and reporting data as needed.
• Monitor contractor licenses across multiple states.
• Track license renewals, expiration dates, and required documentation.
• Maintain compliance records and ensure documentation remains current.
• Assist with contractor onboarding and documentation management.
• Verify insurance certificates, licenses, certifications, and other required documents.
• Maintain contractor information within company management platforms.
• Identify opportunities to improve office organization, tracking systems, and administrative processes.
• Assist with implementing new procedures that increase efficiency and compliance.
• Support management with administrative projects and special assignments.
Administrative Assistant Qualifications Required:
• Previous administrative or office support experience.
• Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
• Experience using QuickBooks Desktop.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills.
• Self-motivated with the ability to work independently.
Administrative Assistant Qualification Preferred:
• Experience in construction, roofing, contractor services, or a related industry.
• Experience with contractor management or compliance platforms.
• Knowledge of licensing, insurance tracking, or compliance documentation processes.
• Experience with digital file management and document control systems.
