Office Manager

Our client, an established investment management firm located south of Boston, is seeking an exceptional Office Manager/Administrative Assistant to help shape a newly created position. This is a rare opportunity to build and define the role from the ground up — setting the standards, systems, and processes that the firm will rely on going forward. About the Role This person will work directly with the firm’s Principals, Chief Investment Officer, and Chief Operating Officer, and will serve as the first dedicated executive support resource for senior leadership — establishing the standard for how the firm supports its executives going forward and owning all manner of office operations. The ideal candidate will have experience in a similar role at another investment firm and will bring the judgment and polish to represent the firm well in front of clients. Responsibilities Take ownership of day-to-day office operations, driving continuous improvement across all functional areas Serve as the first dedicated executive support resource for senior leadership, establishing the standard of administrative support at the firm Partner with senior team members on miscellaneous strategic projects Serve as the first point of contact for office-related IT requests, coordinating with external IT consultants as needed Lead vendor relationship management, including sourcing, negotiation, and ongoing oversight Plan and execute company events, from concept through logistics Take on human resources support and administrative functions Manage office supplies and administrative infrastructure Prepare and manage hospitality for occasional in-house client meetings, ensuring a polished, client-ready environment Support firm accounts payable Find opportunities to enhance social media and marketing presence Qualifications 2–5 years’ experience at an investment firm, private fund, or other asset management firm BA/BS degree or equivalent, preferably in Finance, Economics, Marketing, or a related field Familiarity with the alternatives/investment management or broader financial services industry preferred Self-starter with the ability to anticipate and resolve issues Proficiency in Microsoft Office Suite required; familiarity with AI tools a plus Strong communication skills and a personal style suited to building relationships and teamwork Ability to multi-task and thrive in a fast-paced, deadline-driven environment with a proven commitment to consistently high-quality work Unquestionable honesty and integrity, intellectual curiosity, and dedication to the quality of the organization Great attitude with a team-first mentality Pay range and compensation package Hybrid schedule, 3 days in office (typically Tuesday–Thursday).
