Position: Accounts Payable Clerk/Membership Secretary Date Revised: 10/20/2026
Reports to: Chief Financial Officer/Finance Director Weight Max: 20 pounds
Full time: 36 hours per week Hourly: $20.00
General Responsibilities:
A. Accounts Payable Clerk
a. Gather packing slips and/or receipts and match up with invoices and/or billing
statements upon receipt.
b. Obtain approval from program staff and Chief Financial Officer prior to payment of
invoice.
c. Monitor spending to ensure that expenditures are for valid ministry purpose. Notify
Finance Director when expenditures are in question.
d. Verify that proper general ledger account code is used for payment of the invoice.
e. Enter invoice into ACS system and generate checks on a weekly basis ensuring a
timely payment. Obtain signatures from authorized check signers.
f. Communicate with vendors and staff when necessary.
g. File A/P invoices & check stubs in an orderly fashion.
h. Online Registration processing through VANCO
i. Run a cost breakdown of the Church’s HSA charges
j. Credit card statement processing & payment monthly
k. Responsible for church orders through Amazon
l. ACH bill pay.
m. Ordering of AP check stock & envelopes
n. Other duties as assigned by Chief Financial Officer or Senior Pastor
B. Membership Secretary
a. Collect and enter all information on New Members including photos
b. Update Membership records including but not limited to changes in membership status
c. Keep records of all baptisms
d. Create New Member welcome letters
e. Create First Time Visitor welcome letters
f. Spreadsheets
i. Membership drops and adds (2)
ii. Searches and lists results upon requests
iii. Classes or Bible studies
1. Labels
2. Attendance reports for Sunday School classes (marking sheets)
3. Enter attendance of Adult Sunday School classes
4. Worship Services number sheet for pastors and administrator
5. Support co-workers and other staff members as needed
6. Assist co-workers with ACS as needed
g. Run Background Checks on all new employees and volunteers.
h. Back-up answering phone calls for the front office.
