Communications Specialist

The Communications Specialist supports the Department of Medical Oncology by writing, editing, and managing engaging content across print and digital channels. Working closely with the communications manager and department leadership, the role primarily produces a weekly newsletter and meeting slides and supports department reports, letters, and periodic website updates. The incumbent must be a strong writer and editor with research and design judgment, experience with newsletter and web platforms, and ability to build trusted relationships with faculty and stakeholders. The role should also effectively use AI tools for content development while maintaining tone, clarity, and audience appropriateness. Responsibilities Develop, edit, and execute written and digital content for internal channels such as the intranet DFCI Online, internal e‑newsletter DFCI Digest, staff broadcast emails, and the bi‑weekly publication Inside the Institute. Edit pieces on a variety of topics, balancing writers’ voices with Dana‑Farber style and ensuring tone, clarity, and concision. Contribute to short‑ and long‑term editorial calendar planning by sourcing story concepts and content ideation. Monitor user‑generated content and comments for appropriateness on assigned channels. Collaborate with other content creators to ensure accuracy of information. Liaise with clients as the main point of contact for communication needs, including curating, building, and updating intranet pages aligned with client objectives. Work with IS and web application developers to maintain a stable development environment for content contributors. Contribute to social media efforts, recommending content and coordinating management of assigned projects. Collaborate with departmental team members and client teams for efficient information flow. Partner with the web development team to understand and improve channel platforms. Lead implementation of project management systems for in‑house writers and freelancers. Stay current on trends and best practices in employee communications and editorial workflow. Write, edit, and proofread as assigned, including monitoring the intranet inbox. Partner with department leadership to advance Inclusion, Diversity & Equity efforts. Maintain ongoing communication with clients and department through standardized reporting and project status tools. Knowledge, Skills, and Abilities Technical proficiency and basic experience with content creation and editing programs. Basic knowledge of various database, project management, and other communications tools. Basic experience with analytics. Understanding of diversity, equity, and inclusion principles and application to content strategy. Knowledge of WuFoo, Smug Mug or Tockify preferred. Basic knowledge of web editing and management highly preferred. Writing, editing, and project management skills, including research, story development, interviewing, and understanding of style guides. Excellent attention to detail and proofreading skills. Demonstrated project management ability and efficient execution when priorities shift. Ability to build alignment, trust, and productive relationships with cross‑functional stakeholders. Ability to meet multiple deadlines and juggle multiple projects. Strategic and creative thinking. Demonstrated history of collaboration with a range of constituents including senior leaders, clinicians, researchers, staff, and students. Discretion and diplomacy in handling confidential information. Minimum Job Qualifications Bachelor's degree in Communications or a related field. One year of experience in editing and contributing to content, including intranet or web content. Experience working with web developers, designers, UX teams, and business analysts; familiarity with SEO, Google Tag Manager, and Google Analytics preferred. Background in communications within healthcare, academic, or corporate organizations highly preferred. Supervisory responsibilities: None. Patient contact: None.
