ADMINISTRATIVE ASSISTANT

Administrative Assistant

Nidy Sports Construction is seeking an experienced and detail-oriented Administrative Assistant to support daily office operations and ensure smooth communication across departments. The ideal candidate will have strong customer service skills, administrative experience, and the ability to manage multiple tasks in a fast-paced environment. This role is essential to maintaining efficient workflow, accurate documentation, and professional interactions with clients, vendors, and team members.

Key Responsibilities
  • Handle incoming phone calls and greet walk-in visitors; direct inquiries to the appropriate personnel.
  • Provide high-quality customer service and maintain a professional office environment.
  • Develop and maintain an understanding of company services and project processes.
  • Setup new jobs in our systems.
  • Assist with administrative tasks including filing, scanning, mail distribution, and data entry.
  • Support financial operations such as assisting with Accounts Payable/Receivable.
  • Act as liaison with subcontractors by collecting W-9s, insurance certificates, and workers' compensation documentation.
  • Issue subcontracts to Vendors.
  • Prepare outbound communications.
  • Maintain organized digital and physical records in accordance with company procedures.
  • Assist with general office duties and special projects as assigned.
  • Follow all company policies, safety guidelines, and office protocols.
  • Perform other related duties as assigned.
Required Qualifications
  • 2+ years of administrative or office support experience.
  • Strong customer service and communication skills.
  • Proficiency with computers and common office software (Microsoft Office, email platforms, etc.).
  • Ability to multi-task and manage a variety of responsibilities with accuracy. Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to lift up to 25 lbs and assist with basic office tasks as needed.
Preferred Qualifications
  • Experience in construction, contracting, or related industries.
  • Basic bookkeeping or accounts payable/receivable experience.
  • Familiarity with Google Sheets, Microsoft Excel, and any ERP systems.
Physical Requirements
  • Prolonged periods of sitting, typing, and working at a computer.
  • Occasional standing, walking, bending, or lifting up to 25 pounds.
  • Ability to work in a standard office environment.
