Executive Assistant

Mattamy Homes

Location Tampa, FL Employment Type Full-Time / Permanent / Onsite Reports to COO What You'll Do Provide administrative support for the Mattamy Homes US COO and other executives, including calendar management, flight and extensive travel arrangements, event and meeting coordination, presentations, and expense report management. Maintain a professional image while answering phones and handling visitors to the office. Support a senior executive and keep the office functioning, including ordering, receiving, stocking and distributing office supplies, coordinating equipment services, and building facilities. Assist in the preparation of financial reporting packages and presentations for Board Meetings, employee and bondholder events. Prepare ad‑hoc reports requested by other departments, division leadership, US Corporate and Central Services (Canada Corporate). Compose correspondence on behalf of the COO as needed. Receive, sort or forward incoming mail and coordinate pick‑up and delivery of express mail services (FedEx, UPS, USPS). Perform other related administrative/clerical duties such as scanning, photocopying, filing, and creating business correspondence. Perform other related duties as assigned. What You Bring 10+ years of administrative experience required; previous support of a high‑level executive preferred. Active Notary Public certification required. Previous experience managing a busy travel calendar and setting up and managing meetings and events. Exceptional computer skills including advanced knowledge of Microsoft Office (Outlook, Word, Excel, Visio, PowerPoint). Strong project management skills. Ability to handle sensitive and confidential information with tact and diplomacy. Ability to maintain an organized system of tracking, monitoring and prioritizing tasks and projects. Self‑reliance to work independently on assigned tasks and to accept direction on given assignments while proactively anticipating needs. Ability to work well under pressure and meet deadlines. Ability to juggle multiple tasks and priorities, quick‑thinking and able to pivot and adjust as needed. Detail oriented with ability to proof documents for accuracy and communicate detailed changes. Excellent interpersonal, written, and verbal communication skills. Professional, polished demeanor. Enthusiastic and friendly with a client‑service orientation. Strong problem‑solving orientation and analytical skills. Bonus Points Bachelor’s degree in Business or a related field preferred.
