Registration & Scheduler

Location: Deer Valley Medical Office Building, 19636 N 27th Ave, Phoenix, AZ 85027. Category: Patient Services. Shift: Day. Department: Heart Care – Deer Valley. Monday–Friday 6:30AM – 3:00PM. Responsibilities Acts as first point of contact to all customers. Organizes and facilitates clerical administrative duties of the department. Performs a variety of cross‑functional clerical and patient support duties, including telephone, registration, scheduling, and data entry tasks as they relate to the department. Maintains patient charts and communicates with physicians' offices as needed. Greets and communicates with customers; answers telephone calls, retrieves and responds to voicemail messages; directs information to the appropriate individual. Orients patients to the department with directions and instructions. May also perform imaging support duties: receives and transfers incoming calls; generates reports and retrieves images from the PACS system; assists in maintaining efficient patient workflow; maintains records and ensures dissemination of files to designated parties; ensures patients are appropriately prepared for their exam; transports patients when necessary; assists supervisors, radiologists, and/or technologists within scope of the position as directed. Scheduling: schedules procedures, including initial and follow‑up appointments; tracks no‑shows, documents in the appropriate system, and communicates with physicians if applicable; provides schedules in directed format to staff as needed. Registration: provides patients with initial registration information; creates or selects appropriate electronic record; gathers signatures (electronic or otherwise); coordinates medical authorization/referral and financial responsibility; completes daily data entry and scanning of registration information; obtains authorization from insurance companies as applicable; collects co‑pays and required procedure payments; completes daily deposits and/or billing; completes and maintains chart processes per HIPAA; communicates with insurance carriers and hospital billing for authorization updates; ensures chart information is forwarded to medical records; views daily emails and provides supervisor with required information and memorandums; maintains inventory of office supplies/forms and places orders as required; performs other duties as assigned. Education High School Diploma or GED – Required. Experience 1 year in a healthcare‑related field with knowledge of medical terminology, or experience in scheduling and/or registration in a healthcare setting – Required. 2 years in a healthcare‑related field, including scheduling and registration experience, or Patient Access, Outpatient Medical Imaging, Medical scheduling or closely related experience – Preferred. Licenses and Certifications Fingerprint Clearance Card (FPC) – Certification: Have a current Fingerprint Clearance card, or within seven (7) working days after employment, shall apply and be eligible for a Fingerprint Clearance Card (Pediatric Behavioral Health Sites ONLY). – Required.
