Your Role on the Team

Job duties include, but are not limited to: process reimbursements, purchases, travel expenses, and honorariums; monitor program and faculty accounts and maintain financial records. Provide program information and customer service; maintain records, enter data, prepare reports, respond to inquiries, and track calendars and deadlines. Coordinate rooms, catering, parking, registration materials, setup/cleanup, attendee communication, and on-site support for events. Maintain program websites and social media; create flyers, email communications, event notices, and social media content. Support program initiatives and other projects as assigned by the Department Manager or Program Directors.

What It Takes to be Successful

Required: Strong communication and customer service skills with the ability to work effectively with diverse students, faculty, staff, and community members. Strong organizational skills with the ability to prioritize multiple tasks, meet deadlines, and work independently. Proficiency with Microsoft Office 365, including Word, Excel, and PowerPoint, and ability to learn new systems and software. Ability to compose and proofread professional correspondence and maintain accurate records and confidential information. Ability to read, write, and follow written and oral instructions in English. Preferred: Experience providing administrative support in an academic or university environment. Familiarity with UC/UCI policies, procedures, departments, and administrative processes. Experience maintaining websites and creating social media content, particularly for Instagram and Facebook. Experience coordinating meetings, conferences, workshops, or other events, including audiovisual support. Availability to occasionally work evenings and weekends for special events.

Temporary Employment

This is a temporary employment recruitment reporting to the UCI Temporary Employment Services (TES) Department. Interviewing and hiring is based on internal hiring needs and how well the candidate's experience matches the assignment requirements.? Certain?temporary assignments may require clearance of a health physical or require a valid California Driver's License for driving university vehicles. The majority of our temporary positions are Monday Friday, 8:00 a.m. 5:00 p.m. We also have occasional part-time, weekend, and evening hours available, depending on the assignment.
