Job Summary
We are seeking a detail-oriented and organized Accounts Payable & Accounts Receivable Specialist to join our team. This position will be responsible for managing daily AP and AR activities, maintaining accurate financial records, processing invoices and payments, following up on outstanding balances, and providing excellent communication with clients, vendors, and internal staff.
Key Responsibilities
Accounts Payable
● Process and verify vendor invoices for accuracy and proper approval.
● Enter invoices and payments into the accounting system.
● Prepare and process vendor payments.
● Reconcile vendor statements and resolve discrepancies.
● Maintain organized AP records and documentation.
● Communicate with vendors regarding invoices, payments, and account questions.
Accounts Receivable
● Prepare and send customer invoices.
● Post and apply customer payments accurately.
● Monitor outstanding accounts and follow up on past-due balances.
● Reconcile customer accounts and resolve billing discrepancies.
● Maintain accurate AR records and documentation.
● Communicate professionally with clients regarding invoices and payments.
Additional Responsibilities
● Assist with monthly account reconciliations and financial reporting.
● Maintain confidentiality of financial and company information.
● Assist with payroll-related accounting tasks as needed.
● Work closely with management and other departments to resolve billing and payment issues.
● Perform general administrative and accounting duties as assigned.
Qualifications
● 1–3 years of experience in Accounts Payable, Accounts Receivable, or general accounting.
● Strong attention to detail and accuracy.
● Excellent organizational and time-management skills.
● Strong written and verbal communication skills.
● Proficiency with Microsoft Excel and accounting software.
● Ability to prioritize multiple tasks and meet deadlines.
● Bilingual English/Spanish is a plus.
● High school diploma or equivalent required; accounting coursework or degree preferred.
