School Office Manager - Intermediate (Classified Permanent SAUSD Employees ONLY)

School Office Manager-Intermediate

Under the direction of a Principal III, perform a wide variety of clerical and secretarial functions in the management of a school office at an intermediate school; perform public relations and communication services.

Incumbents in this classification work at an intermediate school with classes ranging from the sixth to eighth grade. Duties are assigned with only general instructions about procedures to be followed and results expected. The number of functions and clerical employees typical exceeds that found in most elementary schools. School programs involve more diversity with older students where discipline and interpersonal problems are critical. Students typically move from class to class and have no home room teacher. Schools are typically very large with large numbers of District employees both certificated and classified, to be coordinated through the school office.

Representative duties include serving as secretary to the Principal; preparing communications; making appointments, maintaining files and speaking on supervisors behalf. Composing correspondence and typing from rough drafts or notes. Preparing payroll for certificated and classified personnel on staff; maintaining records with respect to payroll. Maintaining records on purchases for all school departments; keeping log of purchase orders and assisting principal in monitoring of school budget. Maintaining student body accounts and funds; maintaining proper controls over money collected and providing reports as directed to the District Office. Requesting substitute personnel, assisting substitute personnel in locating their classrooms and in completing required paper work; insuring classroom coverage with school site teachers when substitutes are unavailable. Responding to questions and providing information regarding the school, its policies and practices; responding to questions by telephone or by personal contact. Making arrangements for staff meetings; maintaining the calendar for the Principal and making contacts on behalf of the Principal as directed. Maintaining control of school facility keys. Providing general assistance and problem-solving help to teachers and classified personnel. Typing a variety of forms, memoranda, requisitions, certificated and classified appraisals and other classified items. Assisting students and their parents with a wide variety of problems and questions. Submitting equipment repair requests. Assuring adequate stock of supplies for classroom and office use, including textbooks; following up as necessary. Distributing mail and school bulletins and other communication devices. Maintaining a wide variety of files for the school office. Preparing and coordinating field trip requests and bus orders. Assisting the Principal and other school staff to meet pressing time schedules. Training office personnel and assisting them when help is required; coordinating the school office functions on behalf of the Principal; supervising student assistants. Assisting in compiling data for school reports; preparing other school reports as directed. Performing related duties as assigned.

Knowledge of modern office practices, procedures and equipment, including computer equipment. Filing and operation of office equipment. Record-keeping techniques. Health and safety regulations. English, grammar, spelling and punctuation. Reading and writing communications skills. School District organization, operations and objectives. Oral and written communications skills. Applicable Sections of State Education Codes.

Ability to make simple arithmetic calculations. Operate modern office equipment including computer equipment. Work cooperatively with others. Work independently with little direction. Type at 50 words per minute. Establish and maintain effective working relationships with others. Communicate effectively with others. Meet schedules and time lines. Maintain records and prepare reports. Communicate effectively both orally and in writing. Maintain good public relations with students, parents, teachers and the public. Schedule and plan clerical work. Perform the essential functions of the job.

Education and experience: Any combination equivalent to graduation from high school and four years of responsible clerical experience involving meeting the public.
