Accounts Payable Specialist

Accounts Payable Specialist – Glen Allen, VA The Accounts Payable Specialist reports to the Accounts Payable Manager and is responsible for data entry, accounting support, and vendor communication related to invoice processing and payment in an onsite role at the ChemTreat facility. Schedule and Location Monday‑Friday, day shift. Overtime and weekends may be required. Onsite at the ChemTreat facility in Glen Allen, VA. Responsibilities Match and enter all PO invoices from inventory and non‑inventory vendors, researching and resolving quantity and price variances with urgency. Use the AP workflow tool (ExFlow) in D365 to manage invoice approval and integrate with the ERP system. Ensure accurate entry and timely payment of vendor invoices, maintain accurate records and control reports. Review daily posting for accuracy and completeness of backup. Review the Accounts Payable Aging report with the AP Manager weekly. Process and review invoices for accurate account classification; match original invoices and requests for payment with purchase orders or check requests. Verify receipt of goods or services, resolve discrepancies regarding prices, delivery, and quality, and impute use tax as appropriate. Communicate professionally with internal and external parties, both verbally and in written form. Document actions taken to resolve issues so that auditors easily follow procedures. Perform month‑end close duties, including timely close of the accounts payable system and recording accrued liabilities for invoices not yet received; prepare month‑end A/P accruals. Monitor and analyze specific AP operations, such as invoice research and follow‑up, problem documentation, and input standardization. Design, revise, and implement forms, tools, and procedures to improve efficiency. Perform specific AP output duties and special projects as needed. Qualifications High school diploma or equivalent required. Business‑related bachelor’s degree required OR a minimum of three years of related work experience. Extensive knowledge of accounting and management principles and AP procedures. Advanced Excel skills and ability to analyze large spreadsheet data and formulas. Strong attention to detail and accuracy. Commitment to ethical behavior and adherence to company policies and financial legislation. Excellent communication and interpersonal skills. Motivation to develop and maintain internal and external relationships. Exceptional time‑management and organizational skills. Ability to work closely within a team structure.
