Rehabilitation Services-Patient Coordinator II

Site: Brigham and Women’s Faulkner Hospital, Inc. Job Summary Performs a variety of patient service and administrative duties and office work in a clinical setting. Requires experience, is patient focused, schedules appointments, obtains referrals, collects copayments, registers patients, assists in training staff, handles billing, patient flow, medical record preparation, office supplies, and coordinates care among therapy departments. Responsibilities Scheduling Performs patient service and administrative responsibilities. Initiates the patient’s introduction, greets patients, answers the phone, and provides information. Schedules initial and follow-up appointments in the scheduling system. Works to shorten waiting times and maintain productive schedules for treating therapists. Controls no-show and cancellation rate. Answers telephone, takes messages, returns calls timely; uses voicemail minimally. Completes template adjustments and time-off requests, holiday blocks in Chart Links Schedule System. Monitors schedule and provides problem-solving assistance to the receptionist. Registering Registers patients into the computer system, taking accurate information and seeking help when needed. Strives to register patients over the phone prior to arrival. Facilitates insurance information to the billing department and stays current with health insurance benefits. Works to minimize denials with the Department Reimbursement and Eligibility Specialist. Ensures timely registration of Hand and Splint patients from physician office suites. Billing Collects copayments in a service-oriented manner with accuracy. Completes computerized accounting of collections each shift and processes to Accounts Receivable. Reconciles drawers daily. Oversees charge input, monitors staff charge sheets, reviews printouts for accuracy. Corrects outpatient registration monthly for recurring patients with finance and Eligibility Specialist. Inputs and corrects ICD numbers as able. Daily Department Flow & Practice Operations Resolves patient issues and works toward positive outcomes for difficult encounters. Supports the Rehabilitation Department Team and hospital interdisciplinary team. Maintains positive working relationships; demonstrates team attitude. Uses tact and diplomacy with difficult issues. Interacts with all levels of management and team. Establishes and maintains responsible work plans. Orders office supplies with awareness of the budget. Takes initiative to resolve departmental issues (maintenance, telecom, IT). Records consults for inpatient Speech, PT, OT and assists staff in collecting them. Assists in orientation of new staff to front desk coverage. Participates in departmental or hospital-wide committees. Plans and implements front-desk staffing, covering absences, peak periods, and mandatory breaks. Identifies patient and departmental priorities and responds appropriately. Meets with clinical supervisor/outpatient manager for progress and professional development. Communicates problems, concerns, issues, suggestions, recommends resolutions. Assists in developing programs within the department. Displays scheduling flexibility to accommodate patient and department needs. Attends Administrative Support Meetings to advance patient care and staff support. Facilitates the implementation of regulatory changes. Qualifications Education – High School Diploma or Equivalent mandatory; Associate’s or Bachelor’s Degree in Secretarial Sciences preferred. Experience – 3-5 years in a medical environment or acute hospital setting. Knowledge, Skills & Abilities Co-ordinates with compliance standards I C A R E. Excellent communication with patients, families, interdisciplinary team, and colleagues. Outstanding interpersonal skills; positive, professional manner. Proficiency with interpreter, cultural differences, patient self-care needs. Strong computer skills and understanding of HMO, managed care, and coverage options. Self-directed, exercising judgment, self-priority, problem solving.
