Position Summary We're seeking an experienced Probate/Trust Administration Paralegal to join our Altamonte Springs team. This is an excellent opportunity for a seasoned probate and trust professional who is ready to take ownership of matters rather than simply assist with them. In this role, you will independently manage probate and trust administration files from opening through final distribution and closure, serving as a primary point of contact for clients, fiduciaries, beneficiaries, financial institutions, accountants, and other professionals throughout the process. You'll prepare court filings and accountings, coordinate asset transfers and distributions, track deadlines, maintain organized files, and proactively move matters toward completion. You'll work with a high degree of autonomy while using sound professional judgment to identify legal, tax, or fiduciary matters that require attorney involvement. Key Responsibilities Independently manage probate and trust administration matters from file opening through final distribution and closure. Prepare probate pleadings, petitions, inventories, notices, accountings, distribution schedules, closing documents, and other routine legal documentation. Monitor court requirements, filing deadlines, creditor claims, and case milestones to ensure matters progress efficiently and accurately. Gather and organize estate and trust assets and liabilities, and coordinate asset transfers, retitling, liquidations, funding, and distributions. Serve as a primary point of contact for clients and fiduciaries, maintaining consistent communication and providing timely status updates. Coordinate with personal representatives, trustees, beneficiaries, heirs, creditors, accountants, financial advisors, financial institutions, and other third parties. Maintain complete, accurate, and organized case files while proactively identifying legal, tax, or fiduciary issues requiring attorney review or guidance. Take ownership of assigned matters and maintain high standards of accuracy, professionalism, and client service throughout the administration process. Required Qualifications Minimum of 3+ years of hands-on probate and trust administration experience working within an estate planning, probate, and trust administration law practice required. Demonstrated experience independently managing probate and trust administration files from opening through final distribution and closure. Strong working knowledge of probate procedures, trust administration, estate settlement, fiduciary responsibilities, and estate and trust accounting concepts. Hands-on experience preparing probate court filings, inventories, notices, accountings, distribution documentation, and closing documents. Experience coordinating with personal representatives, trustees, beneficiaries, accountants, financial advisors, financial institutions, and other parties involved in estate and trust matters. Strong organizational and file-management skills with the ability to manage multiple active matters, prioritize deadlines, and move files forward with minimal supervision. Excellent written and verbal communication skills with a strong commitment to responsive, professional client service. Highly detail-oriented and self-directed, with strong critical-thinking and problem-solving skills and sound judgment regarding when attorney involvement is necessary. Proficiency with Microsoft Office and legal practice management software. Preferred Qualifications 5+ years of experience in probate, trust administration, estate planning, or a closely related practice area. Extensive experience handling Florida probate and trust administration matters . Paralegal certificate or other relevant legal education or professional credential. Experience administering complex estates or trusts involving multiple assets, beneficiaries, creditors, or real property. Advanced experience preparing estate and trust accountings and distribution schedules. Familiarity with Florida probate court procedures and electronic filing systems.
