Administrative Assistant

NOV, Inc.

Job Description

Primary Responsibilities:
  • Process, maintain, and submit customer invoices in accordance with system guidelines and deadlines.
  • Create invoices as needed based on company policy.
  • Merge, scan, and upload customer folders into the company database.
  • Maintain and update customer information (names, addresses, mergers, etc.).
  • Communicate with customers regarding payment status and resolve payment disputes.
  • Partner with the collections manager and sales team to reconcile accounts receivable at least monthly.
  • Assist with managing accounts payable, including vendor setup and maintenance.
  • Issue purchase orders and process vendor invoices for payment.
  • Record, update, and maintain monthly expenses.
  • Maintain monthly unbilled revenue reports and upload supporting documentation to the corporate share drive.
  • Assist with maintaining employee timesheets.
  • Support accounting and financial reporting tasks.
  • Perform additional administrative duties such as scanning, filing, and other office tasks.
  • Comply with all NOV Company and HSE policies and procedures.
Job Duties:
  • Provide professional customer service and communication.
  • Maintain organized, accurate, and accessible records.
  • Prioritize and manage multiple tasks in a fast-paced environment.
  • Work independently while supporting team goals.
Education and Experience:
  • High School Diploma or GED required.
  • A minimum of 1 years of administrative or related experience.
  • Proficiency in Microsoft Office.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to anticipate work needs and interact professionally with internal and external stakeholders.
