Admin Assistant

$20 - $24 per hour

This contract-to-hire Executive Assistant opportunity supports Managing Directors and Directors within the Global Marketing & Digital Wealth team. Client Details This opportunity is with a large organization in the Financial Services industry, known for its structured processes and commitment to delivering exceptional results. Description Provide proactive administrative support to Managing Directors and Directors Manage complex and high-volume Outlook calendars and meeting schedules Coordinate internal and external meetings, conference rooms, catering, and logistics Arrange and manage domestic and international travel itineraries Process and track expense reports and reimbursements through Concur Prepare, edit, and proofread presentations, reports, correspondence, and other business documents Anticipate executive needs and ensure materials are prepared in advance of meetings Serve as a point of contact for senior stakeholders, clients, and executive assistants Answer and screen phone calls, greet visitors, and provide exceptional client service Support ad hoc projects and provide general administrative assistance as needed Maintain a high level of organization while managing multiple priorities in a fast-paced environment Handle confidential information with discretion and professionalism MPI does not discriminate on the basis of race, color, religion, sex, sexual orientation, gender identity or expression, national origin, age, disability, veteran status, marital status, or based on an individual's status in any group or class protected by applicable federal, state or local law. Profile A successful Admin Assistant should have: Minimum 5 years of corporate administrative or executive assistant experience Experience supporting Managing Directors, Directors, or other senior-level executives Strong expertise in complex calendar management using Outlook Proficient in coordinating domestic and international travel arrangements Hands-on experience with expense reporting and reimbursements through Concur Advanced skills in Microsoft Office Suite, including Excel, PowerPoint, and Word Proven ability to manage multiple priorities in a fast-paced, high-pressure environment Strong communication skills with the confidence to interact with senior leadership and external clients Highly organized, detail-oriented, and proactive Self-starter who can work independently with minimal supervision Bachelor's degree required Professional, polished demeanor with excellent time management and problem-solving skills Job Offer Hourly pay in the range of $20 to $24, depending on experience and qualifications.
