Administrative Specialist - Police Department Elk Grove Village, Illinois, is seeking a dynamic, detail-oriented candidate for the position of Administrative Specialist in the Police Department. The role provides administrative, technical, and logistical support for Police Department operations, primarily coordinating training programs, maintaining compliance records, supporting crime prevention initiatives, assisting with community outreach, and supporting the Support Services Division.
KEY RESPONSIBILITIES
Coordinate department training programs, including scheduling, registration, documentation, and record maintenance to ensure compliance with departmental and regulatory requirements. Maintain compliance with Illinois Law Enforcement Training and Standards Board (ILETSB) mandates by tracking training requirements, certifications, and officer training records. Manage training records and reporting systems, ensuring accuracy, completeness, and accessibility of training, certification, and compliance documentation. Provide administrative and logistical support for departmental operations, including scheduling, correspondence, records management, data entry, and customer service. Coordinate and support departmental programs and initiatives, including crime prevention efforts, community outreach activities, and public education programs. Provide administrative support for social service, adjudication, and court-related functions, including program coordination, record keeping, and public assistance. Maintain records and administrative processes associated with specialized departmental programs, including drone operations, range activities, and other regulatory or compliance-related functions. Collaborate with department personnel, external agencies, community organizations, and the public to support training, outreach, public safety, and operational objectives.MINIMUM QUALIFICATIONS
Possess a high school diploma or GED (associate's or bachelor's degree preferred) and at least two years of administrative, coordination, or support experience, preferably in a public safety or government setting. Candidates should demonstrate strong organizational, communication, and computer skills, including proficiency with Microsoft Office and the ability to learn specialized software systems. Experience with law enforcement training compliance, adjudication or court processes, and crime prevention or community-based programs is desirable. Ability to maintain confidential information is required.LICENSES AND CERTIFICATIONS
Valid State of Illinois Driver’s License with a safe driving record. This position qualifies for an Illinois Municipal Retirement Fund (IMRF) pension.
