Administrative Specialist II

Administrative Specialist

East Cooper Medical Center is seeking an organized, detail-oriented Administrative Specialist to support Nursing Leadership and daily departmental operations. This role plays an important part in ensuring new team members have a seamless onboarding experience while maintaining employee records, certification tracking, timekeeping reconciliation, and access management.

The ideal candidate enjoys working behind the scenes to keep operations running smoothly, excels at organization, and is passionate about supporting both leaders and employees in a fast-paced healthcare environment.

Nursing Leadership Support
  • Provide administrative support to Nursing Leadership and department managers.
  • Coordinate calendars, meetings, and departmental events.
  • Prepare agendas, meeting materials, presentations, and reports.
  • Record meeting minutes and distribute follow-up documentation.
  • Assist leaders with special projects and operational initiatives.
Onboarding & Employee Support
  • Coordinate onboarding activities for new nursing team members.
  • Prepare onboarding packets and ensure required documentation is completed.
  • Serve as a resource for new employees throughout the onboarding process.
  • Coordinate interview logistics and assist candidates during the hiring process.
  • Submit employee access requests and coordinate badge creation.
  • Partner with leaders to ensure new hires are prepared for a successful start.
Certification & Compliance
  • Track employee certifications, licenses, and required education.
  • Upload certifications into designated systems and maintain accurate records.
  • Monitor renewal deadlines and communicate upcoming expirations to leaders.
  • Maintain employee access records and process additions, changes, and terminations in accordance with organizational policies.
Timekeeping & Administrative Operations
  • Reconcile employee timekeeping records and research discrepancies for leadership review.
  • Assist with attendance tracking and reporting.
  • Process invoices, expense reports, and departmental purchasing requests.
  • Order office and departmental supplies as needed.
  • Maintain organized departmental files and documentation.
Process Improvement
  • Develop and maintain organized workflows that support Nursing Leadership.
  • Assist with operational process improvements and department initiatives.
  • Support cross-functional projects and other administrative duties as assigned.
Required
  • High school diploma or GED.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office 365, including Excel, Word, Outlook, Teams, and PowerPoint.
  • Ability to prioritize multiple responsibilities while maintaining accuracy.
  • Ability to work independently and collaboratively in a fast-paced environment.
Preferred
  • Associate's or Bachelor's degree.
  • Previous experience in healthcare, employee onboarding, human resources, or healthcare operations.
  • Experience with credentialing, certification tracking, or compliance-related responsibilities.
  • Familiarity with timekeeping systems and employee records.
  • Healthcare experience preferred but not required.
