Part-Time Office Manager (In-Person)
Schedule: MondayFriday, 12:00 PM6:00 PM
Location: Orange, CA
About the Role
Were seeking a reliable, organized, and friendly Part-Time Office Manager to support day-to-day office operations. This role is ideal for someone who enjoys multi-tasking, communicating with clients and staff, and keeping an office running smoothly.
Key Responsibilities
Front Office & Communication
- Answer and route incoming phone calls professionally
- Greet visitors and support a positive front-desk experience
- Respond to basic inquiries and relay messages to the appropriate team members
- Assist with email correspondence and office communications
Scheduling & Coordination
- Schedule appointments, meetings, and staff calendars
- Confirm upcoming meetings and appointments (calls/text/email as needed)
- Coordinate meeting logistics (room setup, materials, attendee reminders)
- Help maintain organized schedules and avoid conflicts
Administrative & Office Support
- Prepare documents and materials for meetings (printing, assembling packets, forms)
- Maintain organized digital and physical filing systems
- Track office supplies, place orders, and manage inventory
- Support onboarding tasks such as preparing workspace/materials for new team members
- Assist with basic data entry and recordkeeping
Office Operations
- Ensure office spaces are tidy, stocked, and ready for daily operations
- Support internal processes and help improve office workflows
- Coordinate with vendors or building management when needed (repairs, deliveries, services)
Qualifications
- High School Diploma
- Bilingual (English & Spanish)
- Must know Microsoft Word, PowerPoint, Excel
- Prior experience in an office/admin/office manager role preferred
- Strong organization and time-management skills
- Professional phone etiquette and customer service mindset
- Comfortable with common office software (Google Workspace or Microsoft Office)
- Ability to handle confidential information with discretion
- Dependable, punctual, and able to work independently
