We are looking for an organized Office Assistant to support daily administrative and front-desk operations in New Jersey. This Long-term Contract position is ideal for someone who is comfortable managing incoming calls, handling document processing, and keeping office tasks running smoothly. The role requires strong attention to detail, a detail-oriented approach, and the ability to balance receptionist and clerical responsibilities in a fast-paced environment.

Responsibilities:
• Welcome visitors and provide courteous front-desk support while helping maintain an efficient office environment.
• Manage inbound phone calls, direct inquiries to the appropriate contacts, and relay messages accurately.
• Scan, organize, and maintain documents so records remain accessible and properly filed.
• Perform a range of administrative tasks such as data entry, document preparation, and general office support.
• Prepare correspondence and bulk communications using mail merge tools when needed.
• Sort, file, and retrieve paperwork to support daily business operations and recordkeeping.
• Assemble outgoing mailings, including preparing and stuffing envelopes for distribution.• Previous experience in an office support, administrative, or receptionist role.
• Ability to handle incoming calls effectively and communicate clearly with internal and external contacts.
• Proficiency in scanning, filing, and organizing both physical and electronic documents.
• Working knowledge of general clerical tasks, including document preparation and routine administrative support.
• Experience using mail merge or similar tools to produce high-volume correspondence.
• Strong attention to detail and the ability to manage multiple tasks efficiently.
• Reliable organizational skills and a detail-oriented approach to front-desk responsibilities.
