Document Specialist

Job Overview

We are seeking a detail-oriented Documentation Collateral Specialist to support operational and documentation workflows in a fast-paced environment. This role is responsible for handling, tracking, and maintaining sensitive records and materials while ensuring accuracy, compliance, and timely processing.

The ideal candidate is highly organized, able to manage multiple priorities, and comfortable working within structured processes and deadlines.

Responsibilities

Process and complete assigned operational tasks accurately and efficiently
Intake, track, organize, and return collateral and related documentation
Maintain accurate chain-of-custody records and supporting documentation
Assist with document review, redaction, and records management as needed
Follow established procedures, templates, and workflow standards
Communicate effectively with internal departments and external contacts when appropriate
Identify and escalate discrepancies, missing documentation, or processing exceptions
Contribute to process improvement initiatives and workflow efficiency

QualificationsRequired

Strong attention to detail and organizational skills
Ability to manage time-sensitive workloads and deadlines
Excellent verbal and written communication skills
Ability to learn internal systems and operational workflows quickly
Strong documentation and recordkeeping abilities

Preferred

Experience in collateral processing, mortgage servicing, legal operations, financial services, or other regulated environments
Familiarity with document handling and compliance-related processes
