Our company is looking for a Executive Administrator to join our team.

Responsibilities:

  • Prepare agendas and materials as requested;
  • Handle confidential matters requiring the utmost discretion and judgment;
  • Responsible for Liquidia Board of Director meeting planning (meeting/telecon, meals, materials, correspondence);
  • Process expense reports on time for the executives;
  • Back-up to front desk;
  • Organize confidential files, perform data entry and maintain accurate records;
  • Attend senior management team meetings as requested (e.g. meeting minutes, follow-ups etc);
  • Track action items and follow up proactively on activities;
  • Manages the administrative functions of the church;
  • Comprehensive understanding of the general/technical aspects of the job;
  • May determine methods and procedures for new assignments;
  • Under general supervision and action on own initiative, performs diverse and advanced secretarial duties and administrative support;
  • Organize schedules and prioritize incoming meeting requests, working proactively to identify and mitigate schedule conflicts;
  • Responsible for performing tactical and strategic administrative support tasks for upper executive level employees of the organization;
  • Work with sensitive information and maintain confidentiality.Handle contacts across all organizational levels.

Requirements:

  • B.A. or B.S. degree;
  • Strong oral and written communication skills with proven record of attention to detail and meeting deadlines;
  • Comfort managing and accomplishing multiple tasks with minimal direction;
  • A self-starter capable of and content with shifting between high level projects and the mechanics of efficient administrative work;
  • Minimum of 5 years of effective administrative leadership experience in a multi-cultural ministry or business setting preferred;
  • Bachelors degree in management or business-related field is preferred;
  • Able to lead and work effectively and cooperatively in a team environment;
  • Experience working administrative duties within the DoJ;
  • Strong core computer skills in MS Word, Excel, & PowerPoint;
  • Proficiency with computer systems and applications;
  • A team player with a sense of humor and ability to remain flexible amid changing needs;
  • Experience with contact management systems (OvationTix a strong plus) and financial management tools (Quickbooks a strong plus);
  • Prefer 5 – 8 years of executive support to CEOs, including administrative or project management experience;
  • Enthusiasm to work in a demanding, dynamic, and rewarding setting.
