ADMINISTRATIVE PROGRAM SPECIALIST A

About This Job The Louisiana Department of Wildlife and Fisheries is responsible for managing and protecting the state’s renewable natural resources, including all wildlife and aquatic life. LDWF supports a strong work ethic in its employees and incorporates the use of good science, accurate information and technology. The Office of the Secretary exists to provide leadership and support services, administrative direction, and accountability for departmental programs; administrative direction and leadership to ensure the success of subordinate programs; and department-wide coordination, communication, personnel and basic resources needed to accomplish the department’s mission. The incumbent must be proficient in Microsoft Office Suite, including Word and Excel, as well as Adobe Acrobat Pro. The incumbent should possess strong organizational and time management skills, with the ability to prioritize multiple assignments and consistently meet deadlines in a fast-paced work environment. Excellent verbal and written communication skills are essential, along with strong analytical, critical thinking, and observational abilities and a keen attention to detail. The successful candidate will be able to work effectively both independently and as part of a collaborative team while demonstrating professionalism and courtesy when interacting with coworkers and the public. Additionally, the position requires strong clerical and administrative support skills, including accurate recordkeeping and document management. Bilingual proficiency in English and Spanish is preferred. Minimum Qualifications Three years of experience in administrative services; OR Six years of full-time work experience in any field; OR A bachelor's degree. Experience Substitution Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field. Job Duties Provide courteous and professional customer service by responding to inquiries and addressing concerns from the public. Perform accurate data entry and maintain records across multiple computer systems and databases. Manage and complete time-sensitive projects and assignments while meeting established deadlines. Ensure compliance with applicable laws, policies, and procedures, including protecting the rights of individuals involved in the program. Generate and analyze reports to monitor program activities and support operational needs. Collect, compile, and maintain statistical data and program records. Establish and maintain payment schedules in accordance with agency policies and procedures. Prepare, review, and process documentation to ensure case files are complete, accurate, and up to date. Maintain and update electronic and physical case files to ensure accurate recordkeeping. Coordinate with the LDWF Licensing Section to ensure recreational hunting and fishing privileges are suspended and reinstated in accordance with applicable laws and regulations. Organize, file, and maintain program records in accordance with records management requirements. Answer and direct incoming telephone calls while providing accurate information and assistance. Perform other related duties as assigned. Position-Specific Details Appointment Type Probational, Promotional, or Job Appointment. A job appointment may be converted to a probationary appointment should funding become available. Current permanent status classified LDWF employee may be required to accept a Probational appointment if selected. Compensation The level at which the vacancy is filled will be determined by the qualifications of the candidate selected. The actual starting salary depends on the education and experience of the selected applicant. Location This position is in Baton Rouge, LA.
