As we continue to scale our product portfolio, team, retail footprint, and operational complexity, we are investing in a highly organized and proactive Executive Assistant. This role is far more than calendar management. The Executive Assistant will serve as a trusted operational partner helping drive organizational efficiency, communication flow, office operations, and execution across multiple parts of the business. This individual will operate at the center of the organization—balancing executive support, office management, event coordination, and product sample logistics with professionalism, urgency, and discretion. The ideal candidate thrives in a high-growth environment, anticipates needs before they arise, and can seamlessly shift between strategic coordination and hands‑on execution. This role requires exceptional organizational skills, strong judgment, attention to detail, and the ability to manage multiple priorities simultaneously while maintaining a calm and solutions‑oriented approach. In this role, you will own: Executive Support & Coordination for Founder / CEO and COO Office Management across NYC and Secaucus locations Internal Events & Team Experience Coordination Product Development & Trade Show Sample Coordination Cross‑Functional Administrative Operations Key Responsibilities Executive Support & Business Coordination Manage complex and dynamic calendars for the Founder / CEO and COO across internal meetings, external partners, travel, and board‑related activities. Coordinate domestic and international travel arrangements including itineraries, transportation, accommodations, and expense management. Prepare executives for meetings through agenda coordination, meeting materials, briefing documents, and follow‑up tracking. Serve as a central communication hub across leadership, ensuring priorities, deadlines, and follow‑ups are organized and executed. Support confidential communications, sensitive projects, and executive‑level administrative needs with professionalism and discretion. Help drive organizational efficiency by proactively identifying gaps, bottlenecks, and operational improvement opportunities. Coordinate leadership meetings, executive offsites, and cross‑functional business reviews. Office Management & Workplace Operations Oversee day‑to‑day operations of both the NYC and Secaucus offices to ensure a professional, organized, and welcoming environment. Manage office vendors, supplies, maintenance requests, deliveries, catering, and workplace services. Coordinate office logistics including seating, conference room management, guest experience, mail/package handling, and office readiness. Partner with HR and leadership on employee engagement initiatives, office events, onboarding logistics, and team experience programs. Support the execution of workplace policies, procedures, and operational standards across locations. Act as a point person for office‑related problem solving and operational coordination. Events Planning & Team Experience Plan and execute internal company events including team meetings, offsites, leadership workshops, holiday celebrations, and employee engagement activities. Coordinate logistics for customer meetings, retailer visits, executive workshops, and partner events. Support trade show planning including registration management, travel coordination, booth logistics, sample readiness, shipping coordination, and on‑site support as needed. Manage event timelines, vendor coordination, catering, budgets, supplies, and execution details to ensure polished and seamless experiences. Partner cross‑functionally with Marketing, Sales, Product, and Operations to support brand and organizational events. Product Development & Sample Coordination Coordinate product development sample tracking across Product Development, Design, Sales, Operations, and external suppliers. Help manage organization and movement of development samples, approvals, retailer samples, trade show samples, and executive review samples. Maintain sample inventory organization and tracking processes to ensure visibility, accountability, and readiness. Coordinate sample shipments domestically and internationally including documentation, timelines, and delivery tracking. Support preparation for line reviews, customer presentations, product reviews, photoshoots, and trade shows by ensuring product samples are organized and presentation‑ready. Partner with Product Development and Sales teams to support deadlines and milestone coordination. Administrative & Cross‑Functional Support Assist with document preparation, presentations, reporting, and administrative projects. Manage expense reporting, invoice processing, and purchase coordination as needed. Support special projects and business initiatives on behalf of executive leadership. Build strong working relationships across departments and act as a collaborative partner to teams throughout the organization. Operate with a high degree of ownership, urgency, adaptability, and professionalism in a rapidly evolving environment. Success Criteria Executive schedules and priorities are proactively managed with high accuracy and efficiency. Offices operate smoothly with strong employee and visitor experience. Internal events and trade show logistics are executed professionally and seamlessly.Product development and trade show samples are organized, trackable, and consistently launch‑ready. Leadership team experiences strong operational support and communication flow. Cross‑functional projects and administrative initiatives are completed accurately and on time. Experience & Qualifications 5–10+ years of experience supporting senior executives within a fast‑paced consumer brand, retail, fashion, product, or startup environment. Proven experience supporting C‑level executives with complex scheduling, travel, and operational coordination. Strong organizational and project management capabilities with exceptional attention to detail. Experience managing office operations and coordinating events or trade shows preferred. Ability to manage multiple priorities simultaneously while maintaining professionalism under pressure. Excellent written and verbal communication skills. High degree of discretion and ability to handle confidential information. Strong proficiency in Microsoft Office, Google Workspace, Slack, and calendar management systems. Highly proactive, resourceful, and solutions‑oriented with strong follow‑through. Preferred Experience supporting executives within high‑growth consumer products or retail organizations. Exposure to product development, merchandising, or sample coordination processes. Experience coordinating retailer meetings, trade shows, or product launches. Familiarity with logistics, shipping coordination, or inventory/sample management processes.
