About the Position We're hiring an Administrative Assistant who brings organization, reliability, and a friendly, professional presence to our team. In this role, you'll support our Estate Planning (EP) and Estate Administration (EAD) teams by handling core administrative, scheduling, documentation, and front‑office tasks that help matters move forward smoothly and predictably. This is an administrative support position focused on coordination, communication support, and consistent follow‑through that helps the firm operate smoothly and effectively. The position includes shared phone and front desk coverage as part of a team‑based approach to client communication, with the goal that callers are able to always reach a live person during business hours. This role does not involve legal drafting or legal judgment. The Administrative Assistant reports to the Firm Administrator and works closely with members of the EP and EAD teams. What You'll Do Schedule and confirm client meetings (in‑person, virtual, and phone) Prepare, organize, scan, and maintain physical and digital client files Assemble meeting materials, execution packets, and estate planning binders Draft routine correspondence using firm templates and direction Enter and maintain basic matter information in the firm's practice management system Support matter opening and closing tasks and basic billing follow‑up Answer incoming phone calls, greet clients and visitors, and route communications professionally Participate in shared phone coverage so callers can reach a live person whenever possible Prepare and distribute outgoing mail and route incoming mail and documents Assist with conference room readiness, office supplies, and general administrative support as needed About You You're organized, detail‑oriented, and dependable You enjoy keeping things running smoothly behind the scenes You're comfortable supporting multiple people and managing recurring tasks You communicate professionally and warmly‑in writing, on the phone, and in person You're able to prioritize work, follow established processes, and work independently You understand the importance of handling sensitive information with discretion What We're Looking For Prior administrative or office support experience preferred Experience supporting multiple team members a plus Proficiency with Microsoft Office and Adobe Acrobat Experience with scheduling, CRM, or practice management systems a plus Comfortable learning new systems and workflows in a professional services environment What We Offer Hourly rate: $16.35 – $22.12 ($34,000 – $46,000 annually based on a 40‑hour work week) Health, dental, life, and disability insurance Paid time off Simple IRA with employer match Hybrid work flexibility per firm policy Summer hours program Professional development and team‑building opportunities Work Type & Physical Requirements Primarily in‑office, with opportunity for occasional remote flexibility per policy Prolonged periods of computer‑based and phone‑based work Ability to lift up to 15 pounds occasionally Application Procedure Please submit cover letter and resume as PDF documents only.
