Job Summary
Seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior managers within a fast-paced financial environment. This role requires strong organizational skills, discretion, and the ability to manage competing priorities while maintaining professionalism in all communications.
Key Responsibilities
- Provide professional telephone coverage, triage calls, and handle urgent inquiries with sound judgment
- Manage complex executive calendars, including scheduling, rescheduling, resolving conflicts, and prioritizing meetings
- Coordinate large group meetings, including:
- Scheduling across multiple stakeholders
- Booking conference rooms and meeting spaces
- Arranging logistics and materials
- Sending confirmations and distributing agendas/documents
- Arrange domestic and international travel, including itineraries and logistics
- Prepare and submit expense reports
- Serve as a liaison between executives, clients, and internal/external stakeholders
- Maintain filing systems, correspondence, and executive documents
- Interface with internal departments to support executive requests and resource needs
- Manage incoming mail, prioritize correspondence, and coordinate courier/messenger services
- Provide backup administrative support during colleague absences (phone coverage, scheduling, office support)
- Handle general office administration (supplies, document prep, workspace organization)
- Support onboarding activities for new hires, including desk setup and system access coordination
Qualifications
- Bachelor's degree required
- Experience Level: Level 2 (mid-level executive assistant experience)
- Strong organizational, communication, and time management skills
- Ability to work independently in a fast-paced environment
- High level of discretion and professionalism
- Experience supporting senior leaders in a corporate or financial services environment preferred
