Job Summary

Th e Executive Assistant provides high-level administrative support in a fast-paced trading floor environment, supporting 5–9 bankers. This role requires confidentiality, initiative, and professionalism while managing a wide range of administrative tasks, including correspondence, visitor reception, conference call arrangements, travel bookings, and meeting scheduling. The position also involves conducting research, preparing reports, and managing information requests, while building strong relationships across a highly matrixed organization.

Key Responsibilities

  1. Pr ovide executive-level administrative support to bankers and team members.
  2. Conduct periodic research and prepare reports as needed.
  3. Manage information requests with discretion and confidentiality.
  4. Handle clerical functions such as correspondence, visitor reception, and scheduling.
  5. Arrange conference calls, travel bookings, and meeting logistics.
  6. Adapt procedures and processes to align with departmental goals.
  7. Interact professionally with staff at all levels in a fast-paced environment.
  8. Maintain flexibility, resourcefulness, and efficiency in daily tasks.

Required Qualifications

  1. Mi nimum of 3 years of experience as an Executive or Administrative Assistant.
  2. High school diploma or GED required; bachelor’s degree preferred.
  3. Strong ability to multi-task in a fast-paced environment.
  4. Experience in calendar management.
  5. Effective problem-solving skills.
  6. Strong working knowledge of Microsoft Word, Excel, and PowerPoint (including table creation, mail merges, and formatting).
  7. Knowledge of general office procedures (filing, correspondence, scheduling, expenses, calendar management).
  8. Excellent interpersonal skills and telephone etiquette.
  9. Proven ability to exercise tact and judgment in confidential situations.
  10. Experience interacting with senior management.

Preferred Qualifications

  1. B achelor’s degree in Business Administration or related field.
  2. Prior experience supporting executives in financial services or trading environ ments.
