Position: Accounts Payable Specialist Locations: Union Square, New York City Overview: We are looking for an Accounts Payable Specialist to join our expanding accounting team. This is a fast-paced role for a self-sufficient professional who thrives on managing multiple priorities with precision. We are seeking a detail-oriented problem solver with excellent organizational skills, strong communication abilities, and the agility to think on their feet. The ideal candidate will take ownership of our daily AP functions, which include the following responsibilities: Execute accurate three-way matching and high-volume bill processing. Investigate and resolve discrepancies between purchase orders and bills. Coordinate payment disbursements via check, ACH, and wire transfers. Perform weekly bank reconciliations to ensure ledger accuracy. Prepare cash payment reports to support weekly cash flow analysis and provide actionable insights for decision-making. Process monthly AP accruals in a timely manner. Onboard new vendors in strict compliance with company policies and procedures. Maintain organized, up-to-date records for vendors, purchase orders, and 1099 files to ensure tax-reporting readiness. Communicate effectively with vendors and internal departments regarding purchases and payments Support internal and external audit requests with accurate documentation. Collaborate on process-improvement initiatives to enhance departmental efficiency. Take on additional duties and projects as business needs evolve. Requirements: At least 2 years of working knowledge in GAAP is required At least 2 years of experience in AP and cash disbursement is required Ability to work in a high volume, fast paced environment is a must Fundamental knowledge of an ERP system such as NetSuite preferred Intermediate level of Excel preferred Excellent organizational and communication skills Excellent research and follow up skills Understand the importance of customer service A team player who takes direction well and can interact professionally with various internal departments Location This is a hybrid role working onsite four (4) days per week, with the expectation of standard office hours, client visits, and participation in events as needed.
