Executive Assistant to Recruiting Team

Work Model: 4 Days Onsite / 1 Day Remote Compensation: $120,000 Base Salary + OT + Discretionary Bonus Hours: 8:30 AM – 5:45 PM About the Opportunity A leading financial services firm is seeking an experienced Executive Assistant to support its high-performing Recruiting team. This role is ideal for a polished, highly organized professional who thrives in a fast-paced environment and enjoys coordinating complex schedules, managing candidate logistics, and supporting senior leadership. This is a true Executive Assistant position supporting recruiting operations and leadership. It is not intended as a pathway into a recruiting role. .Key Responsibilities Recruitment & Interview Coordination Provide administrative support to the Recruiting team, with a primary focus on scheduling and coordinating a high volume of interviews across multiple time zones. Serve as the central point of contact for interview logistics, partnering with candidates, internal interviewers, hiring managers, and external search firms. Manage complex calendars and coordinate interview schedules while balancing competing priorities. Coordinate all stages of the interview process, including intake meetings, screenings, panel interviews, final rounds, and debrief sessions. Arrange travel for candidates, including flights, trains, hotels, and ground transportation. Executive Support Support the Head of Recruiting with calendar management, travel coordination, meeting scheduling, and additional administrative needs. Coordinate internal meetings with senior stakeholders and external meetings with search firms and candidates. HR & Confidential Support Handle sensitive employee and candidate information with professionalism and discretion. Assist with onboarding logistics, internal communications, employee-related meetings, and training coordination. Maintain accurate records and documentation related to recruiting and HR activities. Expense Management Prepare and reconcile expense reports. Track and maintain records related to recruiting, travel, and business expenses. Operational & Project Support Assist with special projects and time-sensitive initiatives requiring cross-functional coordination. Qualificat Bachelor's degree strongly preferred, flexibility for exceptional candidates. 4–7 years of Executive Assistant and/or Recruiting Coordinator experience. Experience supporting executives in a true EA capacity. Demonstrated success scheduling complex, multi-round interviews across multiple time zones. Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities and work effectively under pressure. High level of professionalism, discretion, and sound judgment. Advanced Microsoft Office skills required, including PowerPoint. #J-18808-Ljbffr
