Administrative Assistant

Summary:We are seeking a highly organized, proactive Administrative Assistant to provide cross-functional support across accounting, operations and human resources. This role is central to keeping daily business functions running smoothly and supporting multiple leaders in a fast-paced environment.This position is intentionally designed to flex based on experience and strengths. The role may lean more heavily into:Front Desk & Accounting Support (AP/AR, invoicing, reporting), OROperations & HR Support (scheduling, employee coordination, reporting, compliance)The ideal candidate brings strong administrative fundamentals, attention to detail, and the ability to manage multiple priorities while serving as a reliable point of coordination across departments.Core Administrative Responsibilities (All Candidates)Track action items and follow-ups across departmentsSupport leadership with reporting, presentations, and administrative tasksMaintain organized records, files, and shared documentationCoordinate meetings, schedules, and internal communicationsFront Desk & Accounting Responsibilities (Depending on Experience)Answer incoming phone calls and route inquiries appropriatelyGreet and assist guests at the front window and manage the will-call doorbellMonitor and manage the general company voicemail and info email inboxMaintain company phone lists, extension lists, and on-call schedulesProvide AR override codes in accordance with company policyAssist with entering and depositing customer checksUpdate customer accounts (payment terms, contacts, etc.)Respond to statement and invoice requestsCreate and maintain AR customer foldersOperations & HR Responsibilities (Depending on Experience)Operations (Driver / Warehouse) SupportPrepare reports for operations metrics, compliance, and auditsMaintain operational records (licenses, certifications, safety documentation)Support supplies inventory, equipment, and vehicle documentation trackingAssist with onboarding drivers and warehouse team members in coordination with HRHuman Resources SupportMaintain employee files and HR records (digital and physical)Assist with EE onboarding and offboarding (paperwork, systems access, orientation coordination)Assist with benefits administration, open enrollment support, and employee inquiriesProvide administrative support for employee communications, memos, and policy acknowledgmentsSupport company culture initiatives – assist in planning, coordinating and executingAssist with recruiting administration (posting jobs, scheduling interviews, tracking candidates)Shared Administrative & Organizational SupportAssist with special projects that span people, culture, and operational efficiencyTrack action items and follow-ups across HR and Operations initiativesMaintain organized filing systems and shared drivesIdentify opportunities to streamline administrative processes between departmentRemember, you are a representative of Elite Brands of Colorado and being professional and courteous to all employees and customers is part of the responsibility of this position!Qualifications2+ years of administrative experience in one or more of the following:Accounting & Office SupportOperations & Logistics SupportHuman Resources SupportStrong organizational and time-management skills with the ability to prioritize competing needsHigh attention to detail and discretion when handling confidential informationProficiency with Microsoft Office (Outlook, Word, Excel) and learning new systemsStrong communication skills and a collaborative mindsetAbility to work independently while supporting multiple leadersWhy Join UsStable, team oriented work environmentBroad exposure to human resources, operations, accounting and office administrationA role where your organization, initiative, and follow through make a visible, daily impactOpportunity to work closely with leadership and gain cross departmental experiencePassionate, collaborative, and fun loving culture that values people and teamworkTimelineWe will begin contacting candidates after the July 4th weekend.
