Executive Assistant (San Francisco, CA)

LHH is teaming up with a leading real estate investment and financial services firm in San Francisco, CA in search of an Executive Assistant to support a team of senior transaction professionals. This is an exciting opportunity to join a high-performing, fast-paced office environment where collaboration and attention to detail are key. The organization is known for its energetic culture, frequent client-facing events, and strong emphasis on execution and client service. This role offers the chance to work closely with experienced professionals and gain exposure to complex business operations and deal activity. The ideal candidate is highly organized, proactive, and thrives in a fast-paced setting with competing priorities. This individual brings strong administrative experience, demonstrates sound judgment, and can seamlessly manage multiple responsibilities with minimal oversight. A high level of professionalism, communication skills, and the ability to build relationships across teams is essential, along with a stable work history and strong follow-through. Key Responsibilities Provide administrative support to senior-level professionals, including complex calendaring, travel coordination, and meeting logistics Manage and prioritize scheduling needs, ensuring alignment with business priorities and deadlines Track and submit expense reports, including travel and client-related expenses, in a timely manner Prepare and edit documents, presentations, and correspondence using Microsoft Office tools Act as a key point of communication across teams, helping streamline collaboration and workflows Support deal-related administrative processes, including document organization and coordination with internal and external stakeholders Plan and execute internal and external events, including coordinating logistics, vendors, and attendee management Assist with client gifting, entertainment coordination, and related processes in alignment with company policies Provide occasional backup support to broader administrative team and assist with ad hoc requests as needed Qualifications 3–5+ years of executive support experience in a corporate environment (required) Prior experience supporting multiple stakeholders or executives (required) Strong organizational skills with the ability to manage multiple priorities simultaneously (required) Excellent written and verbal communication skills (required) Proven ability to work in a fast-paced, high-energy environment (required) High level of discretion and professionalism (required) Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint (required) Experience with expense management tools such as Concur or similar systems (preferred) Type: Direct hire Start Date: ASAP Location: Fully onsite in San Francisco, CA Hours: Standard business hours, Monday-Friday, with flexibility as needed to support team priorities Benefits Our partner company offers a comprehensive benefits package including but not limited to medical, dental, and vision coverage, life and disability insurance, flexible spending accounts, a health savings account, and retirement savings options, along with additional offerings such as commuter benefits, an employee assistance program, and voluntary supplemental plans.
