The Accounts Payable Specialist is responsible for managing the full accounts payable cycle, from invoice processing and reconciliation through vendor payments and account maintenance. This role ensures invoices and payments are processed accurately and timely, while maintaining strong relationships with vendors and internal stakeholders. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage a high volume of transactions while meeting deadlines in a fast-paced environment.

What You'll Do

• Manage the end-to-end accounts payable process, including receiving, reviewing, coding, processing, and reconciling invoices.
• Partner with corporate departments to ensure timely processing and resolution of invoice and payment matters.
• Review invoices against purchase orders, contracts, and supporting documentation to ensure accuracy and proper authorization.
• Create and maintain vendor accounts in the JD Edwards (JDE) ERP system.
• Processing invoices and approval workflow through OCR system (Scanman)
• Prepare and process vendor payments, including checks and other payment methods, in accordance with company policies and established payment schedules.
• Maintain vendor master data, including W-9 documentation, tax identification numbers, payment terms, and banking information in accordance with company policies.
• Research and resolve discrepancies related to purchase orders, contracts, invoices, payments, credit memos, and vendor accounts.
• Reconcile vendor statements and related transactions on a monthly basis, identifying and resolving outstanding items.
• Process credit memos and ensure appropriate credits are received and applied to outstanding balances.
• Coordinate the resolution of payment exceptions, including stop-payment requests, returned payments, and purchase order amendments as needed
• Maintain accurate and organized accounts payable records in accordance with company policies and procedures and applicable record-retention requirements.
• Support the AP subledger close process, including monthly, quarterly, and year-end close activities.
• Assist the Accounting team with internal and external audits, financial reporting, and ad hoc analytical projects.
• Maintain confidentiality of financial, vendor, and company information.

Qualifications

• Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent relevant experience will be considered.
• Minimum of 3-5 years of accounts payable or related accounting experience, preferably in a high-volume environment.
• Experience processing a high volume of invoices with a strong focus on accuracy and timeliness.
• Experience with JD Edwards or a similar ERP system strongly preferred; experience with automated accounts payable systems is a plus.
• Strong data entry, Microsoft Office, and computer skills.
• Strong attention to detail and demonstrated ability to identify and resolve discrepancies.
• Excellent organizational and time-management skills, with the ability to prioritize multiple responsibilities and meet concurrent deadlines.
• Strong written and verbal communication skills, with the ability to effectively interact with vendors and internal stakeholders.
• Proactive, self-motivated, and solutions-oriented approach to work.
• Ability to work independently while contributing effectively within a collaborative team environment.
