Senior Executive Assistant
We are seeking a highly organized, proactive, and detail-oriented Senior Executive Assistant to support the COO in managing daily operations, internal coordination, and company-wide execution. This is a high-impact role for someone who thrives in fast-paced environments, can manage multiple priorities simultaneously, and naturally takes ownership over organization, follow-through, and accountability.
The ideal candidate will act as the COO’s right hand and “second brain” — helping ensure priorities are organized, meetings are productive, teams are aligned, and deliverables are completed on time.
Key Responsibilities- Provide high-level administrative and operational support to the COO
- Manage calendars, scheduling, meetings, and internal coordination
- Oversee internal task management platforms and ensure assignments, projects, and deliverables are updated and progressing on schedule
- Track action items and proactively follow up with team members and department leads
- Prepare reports, meeting notes, summaries, and operational updates
- Coordinate internal meetings, leadership check-ins, and cross-functional communication
- Help monitor team performance, timelines, and accountability across departments
- Act as a central point of communication between the COO and internal teams
- Assist in prioritizing daily, weekly, and long-term operational initiatives
- Ensure strong organization across projects, communications, and company priorities
- Support operational process improvements and workflow organization
- Maintain confidentiality and professionalism in all communications and business matters
- Exceptional organizational and multitasking abilities
- Strong communication and follow-up skills
- Ability to manage multiple moving priorities in a fast-paced environment
- Highly detail-oriented and proactive
- Strong sense of ownership, urgency, and accountability
- Professional, confident, and capable of managing internal follow-up with teams
- Experience with project management and collaboration tools preferred
- Prior executive assistant, operations, or project coordination experience preferred
The ideal candidate is someone who is naturally organized, resourceful, and operationally minded. They should be able to anticipate needs, keep projects moving, create structure within fast-moving environments, and confidently help manage accountability across teams while serving as a trusted partner to the COO
