AquaTerra Outdoors, is an industry leading, international award-winning, premier boutique landscape architectural design + build firm in Carrollton, Texas. We are seeking an experienced Accounting Assistant to join our fun and hardworking team!

What We're Looking For

Our ideal candidate is:

• Experienced with QuickBooks Enterprise and/or (Desktop) (required)
• Highly proficient with Microsoft Excel, Word, and Outlook
• Comfortable learning and using technology
• Experienced with BuilderTrend or another integrated construction/project management software (strongly preferred)
• Exceptionally organized and detail-oriented
• Dependable, trustworthy, and able to handle confidential information with integrity
• Able to manage multiple priorities while maintaining accuracy
• A proactive problem solver who anticipates needs rather than waits to be asked

What You'll Do

You'll play a critical role in supporting our accounting and operations teams by helping maintain accurate financial records and ensuring our accounting processes run efficiently.

Accounts Receivable

• Prepare and distribute client invoices
• Record client payments and payment processing fees
• Process remote deposits
• Monitor aging reports and assist with collections
• Update billing information within construction schedules

Contract Administration

• Send contracts through DocuSign or Adobe Sign
• Set up new projects in QuickBooks, BuilderTrend, and internal filing systems

Accounts Payable & Banking

• Process approved vendor payments
• Assist with annual 1099 preparation
• Maintain loan schedules
• Perform bank and credit card reconciliations
• Maintain Positive Pay records

Financial & Accounting Support

• Assist with month-end and year-end closing
• Support financial reporting and budgeting
• Prepare commission and sales tracking reports
• Assist with audits and tax documentation
• Maintain fixed asset records
• Support retirement plan administration

Administrative Support

• Maintain organized accounting files and documentation
• Respond to client and internal accounting inquiries
• Process accounting mail
• Assist with bank communications
• Handle special projects as assigned

Qualifications

• 3+ years of accounting or bookkeeping experience
• Strong experience using QuickBooks Enterprise and/or (Desktop) (required)
• Highly proficient with Microsoft Office (Word, Excel, Outlook)
• Experience with BuilderTrend or similar project management software preferred
• Excellent written and verbal communication skills
• Strong organizational and time management skills
• High level of accuracy and attention to detail
