Accounts Payable Specialist Location: Costa Mesa, CA Schedule: Fully Onsite Pay: $26.00–$35.00 per hour, based on experience contract to hire Position Overview We are seeking a detail-oriented Accounts Payable Specialist to join a fast-paced accounting team. This position is responsible for processing vendor invoices, maintaining accurate financial records, and ensuring timely payments while partnering with internal departments to resolve invoice and purchasing discrepancies. The ideal candidate thrives in a high-volume environment and is committed to accuracy, organization, and continuous process improvement. Key Responsibilities Process a high volume of vendor invoices accurately and efficiently. Perform 2-way and 3-way invoice matching against purchase orders and receiving documents. Review invoices for proper approvals, coding, and supporting documentation before payment. Prepare and process weekly payment runs, including ACH, wire transfers, and check payments. Reconcile vendor statements and research outstanding balances or discrepancies. Respond to vendor inquiries and maintain positive vendor relationships. Work closely with Purchasing, Receiving, and Operations to resolve invoice exceptions. Maintain accurate vendor records, including W-9s and payment information. Assist with month-end close by preparing AP reconciliations and accruals as needed. Monitor aging reports to ensure timely payments and identify potential issues. Support internal and external audits by providing requested documentation. Recommend process improvements to increase efficiency and strengthen internal controls. Maintain organized electronic and physical AP records in accordance with company policies. Qualifications 2+ years of Accounts Payable experience in a high-volume environment. Experience with purchase order matching and invoice processing. Strong understanding of general accounting principles and accounts payable procedures. Proficiency with Microsoft Excel, including sorting, filtering, and basic formulas. Experience working with ERP systems; manufacturing or inventory-based environments is preferred. Excellent organizational skills with strong attention to detail. Ability to prioritize multiple deadlines in a fast-paced environment. Strong written and verbal communication skills.Team-oriented with a proactive and problem-solving mindset.
