We are seeking an Accounts Payable Clerk to join our Team. The Accounts Payable Clerk is responsible for processing and coding invoices, issuing vendor payments, and maintaining expense records in QuickBooks. This role collaborates with the Accounts Receivable Clerk and administrative staff to prepare and review financial records and ensure timely payments. The position also supports the President and management team, assists with cross-departmental coordination, and works with the General Manager to align administrative functions.

Key Responsibilities:

• Collect and record primary financial data for accounting records.
• Calculate and enter numerical data.
• Check the accuracy of business transactions.
• Perform data entry and general administrative tasks.
• Reconcile cash and credit revenue to sales receipts.
• Support the Accounts Receivable Clerk in preparing sales reports.
• Collect daily revenue from each department and coordinate with the Accounts Receivable Clerk to prepare daily bank deposits.
• Review invoices and check requests for multiple vendors.
• Sort and match invoices for processing.
• Resolve payment discrepancies with vendors.
• Reconcile invoices with statements.
• Maintain documentation for all expenses.
• Manage calendars and maintain contact databases.
• Handle phone calls, email, correspondence, and monthly expense reconciliation.
• Provide backup support to the broader administrative team as needed.

Qualifications:

• Previous experience in accounting, finance, or a related field
• Ability to prioritize and multitask
• Strong organizational skills
• Demonstrate strong attention to detail and consistently meet deadlines
• Strong written and verbal communication skills.
• Maintain professionalism in all interactions with colleagues, supervisors, customers, and vendors.
• Maintain regular and reliable attendance.
• Associate’s degree in accounting or bookkeeping certificate desired
• Demonstrate intermediate proficiency with Microsoft Office Suite.
• Experience preparing bank deposits
• Demonstrate strong mathematical skills
• Demonstrate a friendly, outgoing attitude and strong customer service skills.
• Must successfully pass a comprehensive drug screening and criminal background check.
• Provide at least two supervisory references upon request.
• Provide documentation verifying eligibility to work in the USA.
