Job Title: Administrative Assistant
Location: Concord, CA
Pay Range: $25.00 – $26.00/hour
Work Schedule: Monday through Thursday, 8:00 AM to 4:30 PM

We are actively seeking an Administrative Accounting Coordinator to join a fast-paced, finance-oriented environment. In this highly visible role, you will support day-to-day financial operations, ensure accurate documentation, and contribute to smooth and efficient workflows. What You’ll Be Responsible For
  • Coordinate and distribute financial reports, correspondence, and internal documentation
  • Prepare and share recurring financial data with a strong focus on accuracy and deadlines
  • Draft and edit professional communications, summaries, and internal reports
  • Organize and maintain filing systems for contracts, vendors, and financial records
  • Support office operations through supply coordination and general administrative assistance
  • Assist with audit preparation by gathering documentation and organizing required materials
  • Maintain digital and physical records to support compliance and accessibility
  • Provide administrative support to accounts payable functions, including document tracking
  • Review and verify employee activity reports to ensure completeness and accuracy
  • Update reporting systems and monitor allocation tracking to support financial visibility
  • Communicate with internal teams to ensure timely submission of required information
  • Contribute to team initiatives and cross-functional projects as needed
To Be Successful in This Role, You’ll Bring
  • High school diploma or equivalent; additional coursework in business or accounting is a plus
  • 2+ years of administrative experience, ideally supporting finance or accounting functions
  • Strong written and verbal communication skills with a high level of professionalism
  • Advanced Microsoft Excel skills and working knowledge of Word, Outlook, and PowerPoint
  • Familiarity with accounting or financial systems and the ability to quickly learn new tools
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Detail-oriented mindset with solid analytical and problem-solving abilities
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Professional interpersonal skills and a commitment to handling confidential information responsibly
