Office Coordinator - USA

Embention

At Embention , we have been driven since 2007 by a clear mission: Enabling drones to populate our skies. We provide over 700 customers across 70 countries with safety-critical avionics and high-performance components, for advanced air mobility (AAM) including UAVsand eVTOL aircraft,all developed in compliance with the highest aeronautical certification standards (DO178C, DO254, STANAG, etc.). Our technology supports a wide range of programs, from defense and security applications to urban air mobility, cargo transport, and even space-related recovery projects. The core of Embention is our R&D organization, with more than 100 engineers across multiple disciplines. Together with the rest of the team, we are a global organization of 175+ professionals aligned around one mission. Today, Embention has a strong presence in Spain, a growing local team in Los Angeles (USA), and a high-tech production facility in Abu Dhabi (UAE). As part of our strategic growth, we are now strengthening our footprint in the United States. If you are an organized, service-oriented person with experience in office management and a proactive approach to interacting with customers, suppliers, and visitors, we would love to meet you. Which will be your responsibilities? Ensure the smooth day-to-day operation of the office. Oversee the maintenance and organization of office spaces. Coordinate office services, such as cleaning, maintenance, waste management, restocking supplies, snacks, fruit, and other daily necessities. Support the onboarding of new hires in HR. Manage the reception desk, phone calls, and visitors; prepare meeting rooms; handle catering; and provide support for internal meetings, client visits, and corporate events. Handle administrative and document management tasks. Manage office purchases, inventory, deliveries, shipments, returns, warehouse organization, and the tracking of materials through Odoo. Excellent communication skills and customer focus. Strong organizational skills and attention to detail. Adaptability in dynamic environments. Prioritization and time management. What do we value? Previous experience in reception or administrative roles. B2 - C1 level of English. Experience in international or technology-related environments. Knowledge of other languages. Familiarity with ERP or CRM systems. Knowledge of the Odoo ERP. Why this role matters?
