Administrative Assistant II

Are you an organized administrative professional who thrives in a fast-paced environment? This is an excellent opportunity for someone with strong organizational, communication, and multitasking skills who enjoys working across multiple departments.

Responsibilities

  • Provide administrative support to managers and department staff.
  • Prepare correspondence, reports, presentations, meeting minutes, and other business documents.
  • Assist with commission agenda packages and supporting documentation.
  • Process payroll activities, including time entry, corrections, reimbursements, mileage, and approvals.
  • Review, reconcile, and maintain procurement card transactions and statements.
  • Verify, prepare, and process vendor invoices.
  • Assist with budget preparation, tracking, and reconciliation for multiple business units.
  • Generate purchase requisitions and support purchasing activities, including RFPs, bid proposals, and contract renewals.
  • Maintain employee records and other electronic and hard-copy files.
  • Coordinate meetings, department events, and calendars.
  • Order and manage office supplies.
  • Distribute incoming mail and route documents appropriately.
  • Submit IT and system access requests for equipment, software, and new hires.
  • Provide backup support for administrative and executive assistants as needed.
  • Train administrative staff on internal systems, procedures, and processes.
  • Perform other administrative duties as assigned.
Qualifications

  • Previous experience in an administrative support role required.
  • Strong organizational skills with exceptional attention to detail.
  • Experience processing payroll, invoices, and purchase requisitions.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to prepare professional reports, presentations, and business correspondence.
  • Experience maintaining confidential records and employee files.
  • Strong communication and customer service skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Experience supporting budgeting, procurement, or accounting functions is a plus.
