Executive Assistant to CEO / Office Operations at Early-stage AI Platform

Executive Assistant & Office Operations
AI-driven social platform is looking for an Executive Assistant & Office Operations to support the Founder & CEO and Head of Operations. With 10 people and plans to grow to 30 this year, this is an exciting opportunity to be a part of a team led by a successful founder and tech entrepreneur. In this hybrid role, you'll own the CEO's calendar, inbox, and travel coordination while supporting the Head of Operations with office management, onboarding, hiring coordination, and team events. Someone who is a hands-on, startup-minded operator with genuine curiosity and a do-whatever-it-takes attitude. This is an in-office role, 5 days/week, based in NYC's Flatiron. 90-120K DOE + equity, benefits, 401K, and generous PTO.
Responsibilities:
- Manage the CEO's calendar, scheduling, prioritizing, and ensuring the day runs smoothly.
- Oversee a busy inbox, triaging communications, drafting correspondence, and keeping communications moving.
- Coordinate travel and logistics, providing detailed itineraries.
- Track follow-ups and to-dos to follow through on commitments and anticipate what's needed.
- Work with the Head of Operations to support new hire onboarding, hiring support, and planning team events and off-sites.
- Oversee and manage the day-to-day office needs. Ordering supplies, organizing packages, managing vendor relationships, and keeping the space welcoming and running smoothly.
- Ad hoc tasks and projects.
Qualifications:
- Previous 3+ years of experience as an Executive Assistant, Operations, EA/OM, or similar role at an early-stage, fast-moving startup.
- Ability to work independently and in ambiguity.
- Willingness to wear multiple hats and support the team where needed.
- Geniune curiosity and excitement when engaging with new information, learning something new, and looking for how things can be improved.
- Excellent attention to detail and organization.
- Calm and adaptable under pressure.
- Collaborative team player who is direct in giving and receiving feedback.
- Tech-savvy. Ideally, you're AI-fluent using Claude, ChatGPT, Notion, or similar tools as part of your workflow, and you're comfortable across Google, Notion, and Slack.
