Administrative Assistant

Calling all Administrative Assistants! Are you ready to join a dynamic team of Software Engineers? At Piper , we're searching for a passionate Temporary Administrative Assistant to join our team in San Diego, CA for 6 months. You will get to enjoy a reliable schedule, working Monday - Friday from 8:30 am to 5:00 pm. We are offering this nonexempt position $24.00 – $27.00 per hour. In this role, you will facilitate the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. Under the supervision of the Administrative Services Manager, the Administrative Assistant will support directors, managers, and employees, assisting with daily office needs and managing the company’s general administrative activities. These include, but are not limited to, maintaining company calendars, arranging all travel itineraries (hotel/flight/train), and submitting reports for each passenger involved. You will also handle and assist with documentation distribution. Job Responsibilities Creating travel reports, making reservations, and following up after travel to prepare portfolios for reimbursement; working with the Administrative Services Manager to apply relevant government and state rates where applicable. Approving Expensify travel reports. Maintaining the travel calendar, tracking who is traveling, destination, and any adjustments. Researching travel options, booking itineraries with hotels, and sending confirmations to relevant contractors. Adding invoices to the AP/AR ledger as requested by the Administrative Services Manager. Ordering office supplies, including food items for the company kitchen. Assisting the Administrative Services Manager and the Associate Director of Human Resources with miscellaneous administrative tasks as needed. Handling document distribution and other administrative projects, including errands such as birthday pickups, company lunches, Post Office, and FedEx deliveries. Arranging and attending meetings as required and maintaining the company calendar. Validating parking tickets for visitors. Requirements High school diploma or equivalent required; associate degree preferred but not required. Proficient knowledge of Google Suite and Microsoft Office (Word, Excel, Outlook, etc.). Professional communication skills (phone, interpersonal, written, verbal). Customer service at a professional concierge level. Proficient knowledge of typical business correspondence (grammar, structure, punctuation, spelling). Knowledge of general office equipment. Strong time‑management and prioritization skills.
