Accounts Payable Specialist
Job Description
- Daily review and process of vendor invoices, petty cash requests, and staff expense reimbursements
- Codification and posting of A/P to the general ledger
- Scanning of documents to and maintenance of the A/P database
- Weekly review and presentation of the expense report to the Controller, explanation of material variances
- Allocation and entry of legal research time and expenses into the billing software
- Setting up payments via company checks, EFT and ACH
- Communication and follow up with vendors and staff regarding outstanding A/P issues
- Collection, verification, and safeguard of the vendor/contractor tax certificates (W-8/W-9)
- Annual processing of tax information returns (1099-Misc) for qualified vendor payments
- Work in tandem and cross-train with billing coordinator and accounting manager
- Administrative support to the Controller and HR Administrator
- Ad hoc business assignments and tasks

Other Requirements
- Bachelor or Associate degree in Accounting, Business Mgt, or MIS
- 2-3 years of experience in the professional office environment
- Ability to commute and be punctual
- Excellent written, verbal, and interpersonal skills; attention to details
- Ability to multitask and work under pressure
- Strong MS Excel/Word/Outlook and Adobe Acrobat skills
- Being a dedicated team player
- Experience with Tabs3 software is a plus
