We are seeking a detail-oriented Accounts Payable Specialist to join our growing construction accounting team. This role is responsible for processing high-volume invoices, managing subcontractor and vendor payments, ensuring compliance with lien waiver and insurance requirements, and supporting month-end close activities. The ideal candidate has experience in the construction industry and is familiar with job costing, purchase orders, and construction accounting practices.

Key Responsibilities

• Process high-volume vendor and subcontractor invoices accurately and timely.
• Perform three-way matching of purchase orders, invoices, and receiving documentation.
• Code invoices to the appropriate general ledger accounts and job cost codes.
• Review subcontractor invoices for accuracy and compliance with contract terms.
• Process weekly check runs, ACH payments, and wire transfers.
• Maintain vendor records, including W-9s, insurance certificates, and payment terms.
• Ensure compliance with lien waiver requirements before releasing payments.
• Reconcile vendor statements and resolve invoice discrepancies.
• Communicate with project managers, field personnel, vendors, and subcontractors regarding invoice approvals and payment status.
• Assist with month-end close by preparing AP accruals and account reconciliations.
• Support year-end 1099 preparation and reporting.
• Maintain organized electronic and physical AP records.
• Assist with audits by providing requested documentation.
• Recommend process improvements to increase efficiency and strengthen internal controls.

Required Qualifications

• Associate's or Bachelor's degree in Accounting, Finance, or related field preferred (or equivalent experience).
• 3+ years of Accounts Payable experience.
• At least 2 years of construction industry accounting experience strongly preferred.
• Experience processing subcontractor and vendor invoices.
• Knowledge of job costing and construction accounting principles.
• Understanding of lien waivers, retainage, and progress billing.
• Strong Microsoft Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, and formulas.
• Excellent organizational skills with strong attention to detail.
• Ability to prioritize multiple deadlines in a fast-paced environment.
• Strong communication and customer service skills
