Administrative Associate (Hybrid Opportunity)

$31.97 - $38.4 per hour

Stanford University Clinical Excellence Research Center (CERC) seeks an Administrative Associate to support senior faculty in research, teaching, publishing, and the Master in Clinical Informatics Management (MCiM) program. Responsibilities Manage day‑to‑day email inquiries and calendar planning for faculty. Schedule meetings, conferences, seminars, and events, including travel arrangements, catering, vendor recommendations, and logistics. Prepare, edit, and distribute materials such as presentations, course handouts, grant applications, and manuscripts. Maintain program calendar, update social media and website. Process routine financial transactions and monitor discrepancies. Maintain office supplies and equipment, and coordinate office moves. Serve as point of contact for facility concerns and safety incidents. Track completion of required training and maintain approved website content. Support MCiM on‑site classes and guide or train student or contingent workers. Qualifications 3+ years of administrative experience, or equivalent education and experience. Experience supporting faculty or executives in an academic environment. Excellent written and verbal communication skills and strong editing abilities. Ability to coordinate events, communicate with VIP stakeholders, and manage routine tasks. Strong organizational skills, attention to detail, customer service, and discretion when dealing with senior faculty and guests. Proficiency in Microsoft Office (Outlook, PowerPoint) and familiarity with design tools such as Canva or Adobe Photoshop. Knowledge of Stanford University policies and administrative workflows (travel, per diem, Concur). Education & Experience (required) High school diploma and three years of administrative experience, or combination of education and relevant experience. Knowledge, Skills and Abilities (required) Excellent computer skills and experience with office software and email applications. Demonstrated ability to follow through and complete routine tasks. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Excellent customer service and interpersonal skills. Professional judgment and discretion when communicating with senior faculty, VIP guests, and external stakeholders. Ability to prioritize and multi‑task. Knowledge, Skills, and Abilities (preferred) Proficiency with Microsoft Office and design tools such as Canva or Adobe Photoshop. Working knowledge of Stanford University organization and administrative workflows, systems, and policies (e.g., travel policy, Concur). Experience in an academic or research environment. Physical Requirements Perform desk‑based computer tasks, sit for the majority of the day. Occasionally stand, walk, reach, and use a telephone. Lift or carry items weighing up to 10 pounds. Compensation Hourly pay range: $31.97 to $38.40.
