Construction Administrator

Position Summary The Construction Administrator provides administrative, project coordination, and operational support for utility construction projects, including water, sewer, and gas projects, as well as infrastructure improvement programs. This position is responsible for managing project documentation, coordinating communication among stakeholders, tracking project progress, supporting compliance requirements, and ensuring accurate recordkeeping throughout the project lifecycle. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple projects while supporting field operations, contractors, municipalities, and internal teams. Essential Duties And Responsibilities Coordinate and maintain project documentation, including contracts, permits, change orders, work orders, and project files. Serve as a liaison between project managers, field crews, contractors, engineering firms, municipalities, and customers. Track construction project milestones, schedules, deadlines, and deliverables. Process permits, applications, inspection requests, and regulatory documentation. Monitor project status and provide administrative support to ensure timely completion of project objectives. Prepare and distribute project reports, meeting minutes, correspondence, and performance summaries. Maintain accurate project records and databases, ensuring compliance with company and regulatory requirements. Assist with contractor onboarding, document collection, insurance tracking, and contract administration. Review and process invoices, purchase orders, work authorizations, and billing documentation. Support project budgeting activities by tracking expenditures and maintaining financial records. Coordinate field and office communications regarding scheduling, project changes, and operational updates. Facilitate customer notifications and stakeholder communications as required. Ensure all project files are complete, organized, and maintained according to company standards. Assist with audits, regulatory reporting, and document retention requirements. Identify opportunities to improve administrative processes and project efficiency. Perform additional administrative and project support duties as assigned. Required Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Minimum of 3 years of administrative, project coordination, construction administration, or utility operations experience. Strong proficiency in Microsoft Office Suite, including Excel, Word, Outlook, Teams, and SharePoint. Excellent organizational, time management, and multitasking skills. Strong written and verbal communication abilities. Ability to maintain the confidentiality of information and handle sensitive documentation. Strong attention to detail and commitment to accuracy. Ability to work independently while managing multiple priorities and deadlines. Preferred Qualifications Experience in utility construction, public works, infrastructure, or construction management environments. Knowledge of utility construction processes, permitting requirements, and municipal coordination. Familiarity with contract administration, invoicing, and project reporting. Experience supporting federally funded or regulatory-driven utility programs. Physical Requirements Ability to sit and work at a computer for extended periods. Ability to communicate effectively in person, by phone, and electronically. Occasional travel to construction sites, municipal offices, and project meetings.
